Why is the Microsoft Authenticator app asking for a pin? What is my pin?
Microsoft Authenticator requires you to sign into your phone first. Enter your phone’s passcode/pin and then it should bring you the authenticator codes.
I am entering the code from my app, but it won't accept it.
The code is consecutive numbers and should be entered without any spaces.
The code will update every minute; you will need a new code at every login. Codes will show in blue when they are valid. A clock counts down on the right, and codes turn red as they close to expiring. A new, valid code will automatically appear in blue as the previous code expires.
Do you have multiple codes showing up? Only 1 will be able to be used. Try them top to bottom and delete the codes you don't need, or otherwise make a note of which one should be used.
Google won’t accept my authenticator or backup codes - Error message: 400 Bad Request Your browser sent a request that this server could not understand.
Refresh your cache and cookies. Also, check the URL- if there are letters after the 'needs/', the letters need to be deleted.
It can also help to delete EpiTrax from your authenticator and start over.
How do I delete a code in Google Authenticator if I have several or no longer need one?
Try your codes top to bottom to find the one that works.
Hold down on the code in your app, and a pencil will appear.
Select the pencil and then the trash icon to delete codes that do not work.
Select the pencil and rename the code to make it easily recognizable.
Scanning the QR code does nothing, or it brings me to a page or log-in that doesn’t seem secure.
Please do not use anything other than your authentication app to scan the QR code on the set-up page. Third-party QR scanners are available for download, but they should not be used.
What does it mean by ‘Name your device?’
You can name your device anything you want. For example, ‘Phone’ or ‘EpiTrax MFA,’ etc. are all fine. Do not worry too much about this.
When do I use backup codes to log in?
These can be used if you have trouble with Google Authenticator or do not have your phone. You have the option to print, download, or copy these. Please save them to a safe location! Otherwise, use the codes from your authentication app each time you log in.
My setup screen timed out before I finished up.
The link in your email is valid for 12 hours. To see where you left off, click back on the setup page.
From the Mobile Authentication Setup: If you have already scanned the QR and have codes that display in your Google Authenticator app, try entering the code that appears.
If that doesn’t work, we will start this process over. Hold down on the code in your app, and a pencil will appear. Select the pencil and then the trash icon. You can then click the plus to add a new code, scan the QR, and try to enter this code in the MFA setup page.
Where do I go after I have set up my account?
Now, you can log into EpiTrax whenever you need, using the codes from Google Authenticator each time. Bookmark the link for the website: https://epitrax.colorado.gov
When I try to log in, a popup asks about my passkey. What should I do?
We are still investigating the root cause. To use a phone authenticator app, click ‘Use a phone or tablet.’ To use a physical authentication device, like a Yubikey, click the ‘USB security key.’
You can also look into your passkey setting by going to your Google passkey information page and clicking ‘Learn more.’
When will we need to start using EpiTrax full-time?
When EpiTrax goes live on May 13, 2024, CEDRS will no longer be used for live data.
Will other reporting partners in hospitals and facilities report cases in EpiTrax?
Non-LPHA users, like hospitals or infection preventionists (IPs), report cases in an external space called "the reportal," not directly in EpiTrax.
How do I know if I am in training, UAT, or the production environment?
Check the website address
Training: training.epitrax.colorado.gov - this space does not have the same updated features as the production environment
UAT: UAT.epitrax.colorado.gov - no longer active for most users after 5/13/2024
Production: epitrax.colorado.gov
Will I have access to everything in EpiTrax that I have access to in CEDRS?
This is based on your role and permissions. Contact your supervisor for permission change requests.
Why are cases assigned to me not appearing in my task schedule?
Tasks must be created in the tasks tab within a case for them to appear in your schedule.
Create an events filter to see all cases assigned to you.
Why are my agency's shared accounts not working?
Contact us to set up individual accounts for each person in your agency.
For proper access, each account must be linked to a specific person.
Sharing your EpiTrax account can compromise PHI and PII security.
Can I delete a case?
Deleting a case has the potential to create several undesired ripple effects. For that reason, if you identify a record that does not meet the case definition, please mark the status as "not a case."
Why are pending tasks for other people/ agencies showing on my task view?
The default setting in EpiTrax's "Tasks" feature shows all pending tasks for all conditions and all users at your agency (or the agencies you have access to if you are a state user with expanded access). This is probably not ideal for most users, but it is easy to customize it to your needs!
To change this, go to your tasks dashboard and click the "View Options" button. This will open up some fields that you can filter by. If you want to see tasks assigned to you, find and select only your name under the "assigned to" filter field. Click "Update" to update the task view and see if that gives you what you want. Feel free to set any other filters while you are at it (select certain conditions, set a date range, etc.). Note that clicking "Update" does not yet change the default view. Once you are happy with the settings, click "Set Default" to save these settings as your default view. From then on, you should see only those tasks assigned to you when you open the tasks dashboard in EpiTrax. You can update these settings anytime and change your default view as often as desired.
Required Steps: Accept cases for LPHA, assign cases for investigator, approve cases at LPHA level
Do I have to save the CMR?
It is good practice to save your work regularly. There are two different options for saving.
"Save and continue" keeps the record locked to others to prevent overwriting.
"Save and exit" saves and unlocks the record for others to enter data.
To view without making edits, select Events > Select Current View > Options > View Event.
How is jurisdiction calculated
For investigation: Agency assigned.
For reporting case counts: Based on CSTE guidance, use "usual residence" even for cases on vacation, visiting a second home, or college students.
Why does symptom onset not transfer to the investigation tab?
The onset date on the clinical tab is where you will officially record/confirm the onset date. The tool within the investigation tab is for calculation uses only. It is used for different purposes depending on the condition. Therefore, you will need to re-enter the appropriate date if you would like to use it to calculate incubation, isolation, etc.
Does EpiTrax have the same fields required for particular reportable variables as in CEDRS?
The minimum required fields to create a case in EpiTrax are Last Name, First reported to Public Health (date), Disease, and Investigating Agency. This is the bare minimum; optimal fields will be highlighted yellow, and required fields will be red.
What is the difference between LPHA Case Status and CDPHE Case Status?
Case investigations must follow CDPHE Case Status guidance at a minimum.
LPHAs may choose to set the LPHA Case Status if they are going beyond the minimum investigation requirements to provide community-specific public health interventions.
LPHAs may choose to investigate cases that do not require investigation.
Utilize LPHA Case Status for these situations.
What is 'Event Date' in EpiTrax
Event date is the first time we know someone has been diagnosed with a condition.
Standardized national definition: The earliest onset or positive lab collection, whichever comes first.
Will case definitions be included in EpiTrax? Will there be a link?
Case definitions will be on every surveillance form
TB Access-
TB will remain in TBDB until the Phase 2 launch
Cases in progress at the time of EpiTrax launch
CEDRS will no longer be active at the time of the EpiTrax launch
Cases active in CEDRS will show as active in EpiTrax. No work should be lost in the transition, and assignments should remain the same
