Requesting AV Services
We create our daily schedules based on 25Live requests. Please remember, SU AV Services is a small team with help from our other IT colleagues, and a small group of student workers servicing the entire SU campus. We support over 90 classroom and event spaces.
When possible, we ask that you request AV services at least two weeks in advance of your event start date. This allows us enough time to ensure we have the equipment and staff available to support your event and to add your request to our calendar. We understand this is not always possible, so we recommend reserving your location first and keeping us in the loop on any AV needs you foresee that you will have. Keep in mind, you will need to add an AV resource or CC Marie Nugpo (nugpom@southwestern.edu) or Randy Avenell (avenellr@southwestern.edu) on your request form, so we are notified on 25Live of your possible needs. Otherwise, your event will not show up on our end. We may not be able to accommodate last minute requests, so please communicate your needs and make sure you request them as early as possible.Â

How to Request A/V Resources on 25Live
For audio needs in the Alma Thomas Theater, please fill the Alma Thomas Technical Request Form after submitting your 25Live request as the theater staff handles those requests.
For smaller A/V needs like simple music setups, video recording for class projects, display adapters, etc, please check out items from the SLC Infodesk using the Library A/V Check-Out Form or calling (512) 863-1563.

Webcam or The Meeting Owl for a video conference
Projector cart or mobile TV Cart with HDMI Connection
If you are organizing a higher-level performance or event in the McCombs ballrooms or Bishops Lounge, your audio needs may require a more robust sound system. The built-in system in the ballrooms is not capable of handling anything more than lecture or presentation level sound. We have a couple of PA speakers available for this purpose, which will need to be requested via 25Live. Add the appropriate resource to your event form and specify your needs in the notes (or email Randy and Marie directly). These speakers can be set up in other locations with approval from AV.
