Frequently Asked Questions
Southwestern A/V Services is located in the IT Department on the second floor of the Prothro Building. If you need assistance with an event, please feel free to come by or contact the Tech Deck. We are usually available 8:00am – 6:00pm, Monday – Friday.
Student workers may be available after hours from Monday-Thursday until 10pm, and on weekends during the school year.
Our primary concern is taking care of classroom A/V and related issues, but we also assist with A/V services for faculty, student and staff events. We do our best to ensure all A/V spaces are functional and tested, but as with all digital systems, unexpected failures happen. Please let us know when you come across an issue in any space by emailing infodesk@southwestern.edu or calling the Tech Deck at (512) 819-7333.
If there is an immediate need for help, or this is a situation where your classroom is down, please call the IT Tech Deck at (512) 819-7333 and we will get to you as soon as we can, usually within minutes unless we have other urgent issues to attend to.
We ask that you do not try to fix A/V issues yourself, or have a student try to fix an issue. This can cause more problems, and delay our ability to fix the initial issue.
Many issues can be quickly resolved if you give yourself a bit of extra time before your class, especially during the first week of classes.

We create our daily schedules based on 25Live requests. When possible, we ask that you request AV services at least two weeks in advance of your event start date.

We have two Meeting Owls that can be checked out from the library. Please include the location, date and time of your meeting/event. Once requested, you can pick it up one to two business days prior to your meeting/event from our office in Prothro. We are happy to assist with the Meeting Owl on your first use. There are varying types of A/V technology available in spaces across campus. Please refer to the list below for further information.
We offer a few options for Live Streaming of events on campus. Please keep in mind, since we are a small team, we can not always commit to Live Streaming assistance for your event. The Library has a MEVO streaming camera available for checkout. We do have some larger streaming systems for priority events. However, these larger streaming systems will require support personnel and additional time to set up. This is NOT a self-service option. Please check with us on the availability of these streaming systems before submitting any request by emailing Randy Avenell (avenellr@southwestern.edu) or Marie Nugpo (nugpom@southwestern.edu).
Currently, the only space on campus that is equipped with a permanent streaming capability is the Alma Thomas Theater. You must receive approval of reserving the Alma Thomas Theater (ATT) through 25Live and Laura Sewell before streaming or other technical services can be requested via the ATT Technical Request Form below.
We have been working hard on implementing a plan for updating classrooms and AV spaces. We are aware that many of our classrooms are in dire need of technology updates. An 8-10 year cyclical update plan is in the works, but it will take some time to catch up and update the oldest of our classrooms.
With plans to begin the update to Mood at the end of this school year, many instructors’ offices will be temporarily moved to the Mundy building. This semester, we will be updating the classrooms in Mundy with newer technology and larger screens. Once these rooms are completed, we will likely be focusing on classrooms in FAC, SLC and Olin.
Are you planning a dance party but lacking the necessary equipment to get the party started? No problem! We offer a variety of portable and powered speakers to suit your needs. Some require a power source while others come with batteries, and some can even play music through a USB stick or Bluetooth.

For larger events, you can make a request via 25Live.
If your device does not have a headphone jack, the SLC Infodesk and Tech Deck do have some adapters available for your convenience. Please note that all borrowed equipment must be returned at the conclusion of your event.
