GETTING READY

  1. Retrieve the Digitization Lab key and keep it in a place where it won’t get locked inside the Lab.
  2. Turn the scanner on, wait for the flash of light, then log on to the computer.
  3. Clean the scan bed and glass plate if necessary.
  4. Choose an item from the “To be scanned” shelf, based on the scanning project you have been assigned.
  5. Write your name on the bib record printout.

SCANNING

  1. Open Omniscan and select the job preset that is most appropriate for your project.
    • See separate step-by-step instructions for setting up the different job presets and to see the different filters which are in place.
  2. Name the job using the bibliographic number on the printout. Leave out the last digit of the bibliographic number but include the preceding “b”:
    • E.g. The job name for an item whose bibliographic number is b13629014 should be b1362901
  3. Place the item on the scanning bed.
    • You may need to use tape or other instruments to help with alignment, create a white or solid black background, etc.
    • You can adjust the cradle of the scanning bed to allow for large bindings, fat books, etc.
    • See section on book handling for tips on working with fragile items.
      • Note: All scanning team members should be trained by a member of the Library Book Conservation staff before handling fragile materials.
  4. Place a color target next to the item (remove it from the Mylar sleeve but do not touch the emulsion, i.e the actual colored areas or grayscale)
  5. Scan the item using the foot pedal, the green button on the scanner, the green button on the screen, or the green strips on the scanning bed.
    • If the item is flat (e.g. a single page or a pamphlet), lower the glass plate.
    • If the item is a book that would be damaged by the glass plate, do not use the glass plate.
  6. Readjust your clip(s) as necessary – the first scan or two will likely require several adjustments.
    • If you want to rescan the page entirely (i.e. if it came out totally wrong), then click on the smaller yellow button on the screen (hitting the green button will make more scans without deleting the bad ones). Hitting the “F3” button also does a re-scan.
  7. As you scan, write any inconsistencies or problems you notice on the bib record printouts.
    • E.g., if you are scanning a letter that consists of 3 sheets but the bib record says “2 sheets,” note that there are 3 sheets.
  8. If you do not finish scanning the item in one sitting, place it on the “Scanning in process” shelf.
  9. When you are done scanning a particular item, review your scans to make sure they are all there, that they are in order, that they look the way you want them to, etc.
    • If there is a page missing or something that needs to be rescanned, you can scan again by placing the yellow “New Scan” box where you need it. Remember to delete the bad scans you want to replace– both the JPEG and the TIFF.
  10. When you are ready to close out the job, click on Finalize.

FINISHING UP

  1. After Finalization, proof your work.
    • Use the “Job Finalization Checklist” as your guide, checking off each box as you proof.
  2. Once you are sure that everything is correct, place the item on the “Done” shelf.
  3. Close down the Lab (in this order):
    • Lift the glass plate all the way
    • Clean the scan bed and glass plate if you got them dirty
    • Close Omniscan, restart the computer(s), and turn off the monitor(s)
    • Turn off the scanner
    • Turn off the lights and close the Digitization Lab
    • Return the key to its home
