Migrating from CONTENTdm to IA

We’re uploading (to Internet Archive) the auction catalog scans that we previously uploaded to CONTENTdm. After these scans have been successfully uploaded to IA, we’re going to delete them from CDM.

The workflow for this project draws from the regular IA uploading procedures.

The scans to be moved from CONTENTdm to Internet Archive are on the Q drive:

Q:\_Production Master JPEGs\Auction catalogs\uploaded

I. Select your work and create zip files of book images

• Navigate to Q:\_Production Master JPEGs\Auction catalogs\uploaded and select the folders (catalogs) you’ll work on this session.
  • Move the folders into Q:\_Production Master JPEGs\Auction catalogs\uploaded to IA processing
• Create a zip file for each set of images. For each folder, open it and:
  • Select all images within the folder.
  • Right click, select Send to… > Compressed (zipped) folder. This may take some time.
  • Rename the zip file b12345678_images.zip: replace the _[number] with _images
• Move the zipped folders into Q:\_Production Master JPEGs\Auction catalogs\uploaded to IA processing (i.e., up one level)

II. Upload files to the Internet Archive

Log in to the Internet Archive: https://archive.org/account/login.php (see Watson Library staff for the username and password)

Click the “Upload” button > Upload files

Drag and drop your zipped file into the gray box.

Fill in the following fields: (draw values from the bibliographic record found in Watsonline)

• Page Title: Title (245), remove subfield tags.
• Page URL: remove “_images” from the automatically generated URL.
• Description: click the <> button. Add text from the following fields, separating statements with a semicolon-space:
  • Both 518s (Place of sale; Date of sale)
  • Optional: 246, 500, 590 as appropriate and worthwhile.
• Subject Tags: separated by commas. Keep it simple.
  • Auction catalogs (655)
  • Optional: 700/710, 600/610, 653 names, or title keywords. Don’t use strings (like “M. Knoedler & Co. — Art collections”).
• Creator: Use what’s in the Author/110 field.
• Date: Use the publication year (not month/day) as found in the bibliographic record.
• Collection: Community texts
• Test Item: No
• Language: Select language of item.
• License: Public Domain
• More Options: Click “Add additional metadata…” and enter:
  • oclc and insert the OCLC number from the 001.

When finished, click the button “Upload and Create Your Item.”

III. Wait for item to appear online

You may have to wait several hours or overnight for the item to finish deriving. Once it has, move on to the next steps. Check progress here: https://archive.org/search.php?query=uploader%3A%22watsonlibrary%40gmail.com%22&sort=-publicdate.

IV. Delete a catalog from CONTENTdm

1. Move the folder of the catalog’s scans to the “uploaded to Internet Archive” folder: Q:\_Production Master JPEGs\Auction catalogs\uploaded to Internet Archive

2. Delete the catalog from CONTENTdm (quick steps here, screenshots below)

• Login to our CDM server: https://server16028.contentdm.oclc.org/cgi-bin/admin/start.exe
  • see Watson Library staff for username and password
• “items” tab > current collection: Auction catalogs > (“change” button)
• “edit” > search “the exact phrase” field for full bib number
• get 1 result, ensure it’s the correct catalog
• select “Delete compound object and subpages”, select the radio button next to the cover image, hit “delete”

V. Edit bib records in Millennium

• Internet Archive Macro
  • if you have field tags displayed, refer to the original instructions for alternative macro

• Macro for deleting a field in Millennium: %CTRL+d%

1. Open the bib record for the catalog in Millennium
   • search by record number; append wildcard "a" to the folder name. Example search: b1456007a
2. Use the delete-field macro to delete the CDM-related fields from bib: 007, 533, 856, 799 CONTENTdm Auction Catalogs
3. Use the Internet Archive macro to add the 007, 533, 799 and 856 fields to each bib record.
   • Add the Internet Archive URL to the 856|u – they will all be in the form https://archive.org/details/[bib#].
   • If https://archive.org/details/[bib#] is not available, try https://archive.org/details/[bib#]_images

VI. Contact the Internet Archive

Send an email to our IA contact Cheri De Stefano at cheri@archive[dot]org (copying dan[dot]lipcan@metmuseum[dot]org) to let her know that you’ve uploaded items to the metmuseumlibraries account. Send her links to the new items so she can associate them with our account—you may also ask her to remove/delete items. Sample text:

VII. File maintenance, cleanup

• Move folders for finished items to Q:\_Production Master JPEGs\Auction catalogs\uploaded to Internet Archive
• Delete the related zip files

Detailed instructions/screenshots for deleting a catalog from CONTENTdm (step IV.)

Login to our CDM server: https://server16028.contentdm.oclc.org/cgi-bin/admin/start.exe

• Click purple “items” tab
• Change current collection to “Auction Catalogs”
• Hit “change”

• Click "edit (circled in red below):

• Search the full bib number of catalog (including check digit) in “the exact phrase” field, as shown.
  • To get the full bib number from the truncated folder name, search in Millennium > search by “Record number” > folder name followed by “a”. For this example: b1379944a yields b13799447.
• You should get 1 result for searching the full bib number in the CONTENTdm server. Ensure the metadata matches up with what you uploaded to Internet Archive. Refer to the screenshot below, and:
• Select the radio button “Delete compound object and subpages”
• Select the radio button next to the record you want to delete
• Click “delete” (underlined in red in the screenshot below)

• Confirm
• Index the collection: select "index" > hit "index now" button (screenshot below)
• Proceed to Edit bib records in Millennium (step V).
