IA Uploading Procedures

Short checklist version:

  • Open folder of page image files in Q > _Production > Auction catalogs > scans
    • Select all files, right click, Send to… > Compressed (zipped) folder
    • Rename as b12345678_images.zip (replace the _[number] with _images)
  • Open related Sierra record
  • Log in to IA
    • Upload > drag & drop zip file
    • Edit & enter data, click Upload
  • Add link and related fields to Sierra bib record
  • Email cheri[at]archive[dot]org with links, cc: Dan
  • Delete zip file
  • Move folder to Q > Internet Archive > uploaded to Internet Archive

Full step-by-step instructions

Create zip files of book images

  • Navigate to Q > _Production > Auction catalogs > scans and enter the folder you’ll work on.
  • Create a zip file for the set of images within the folder:
    • Select all images within the folder.
    • Right click, select Send to… > Compressed (zipped) folder. This may take some time.
    • Rename the resulting zip file b1234567_images.zip: replace the _[number] with _images.
  • Find the bib record in Sierra.

Upload files to the Internet Archive

Log in to the Internet Archive -- see Watson Library staff for the username and password.

Click the “Upload” button > Upload files

Drag and drop your zipped file into the gray box.

Fill in the following fields: (draw values from the bibliographic record found in Watsonline–refer to the screenshot below for a sample)

  • Page Title: Title (245), remove subfield tags.
  • Page URL: remove “_images” from the automatically generated URL.
  • Description: click the <> button. Add text from the following fields, separating statements with a semicolon-space:
    • Both 518s (Place of sale; Date of sale)
    • Optional: 246, 500, 590 as appropriate and worthwhile.
  • Subject Tags: separated by commas. Keep it simple.
    • Auction catalogs (if applicable)
    • Optional: 700/710, 600/610, 653 names, or title keywords. Don’t use strings (like “M. Knoedler & Co. — Art collections”).
  • Creator: Use what’s in the Author/110 field.
  • Date: Use the publication year (not month/day) as found in the bibliographic record.
  • Collection: Community Texts (or "[Opensource collection]" if "Community Texts" is not in dropdown menu)
  • Test Item: No
  • Language: Select language of item.
  • License: Public Domain

When finished, click the button “Upload and Create Your Item.”

Wait for item to appear online (optional--typically I just go ahead)

You may have to wait several hours or overnight for the item to finish deriving, and therefore display.

Edit the Sierra records

Add this macro to your Sierra client, if you have group tags hidden (most of you):

  • Bib: Using the macro, add the 007, 533, 799 and 856 fields to each bib record.
    • Add the URL to the 856|u – they will all be in the form https://archive.org/details/[bib#].

Step IV. Contact the Internet Archive

Send an email to our IA contact Joe Ondreicka at joeo @ archive[dot]org (copying robyn[dot]fleming@metmuseum[dot]org) to let him know that you’ve uploaded items to the metmuseumlibraries account. Send him links to the new items so he can associate them with our account—you may also ask him to remove/delete items. Sample text:

Step V. File maintenance and cleanup

Move folders for finished items to Q > Internet Archive > uploaded to Internet Archive.

Delete the related zip files.
