Costume Institute Fashion Plates

Modify the Excel spreadsheet Fashion plate metadata.xlsx located in Q:\_Production Master JPEGs\Costume Institute Fashion Plates in order to create a metadata file for the Fashion Plates you are about to upload.

For each approved folder of plates in Q:\_Production Master JPEGs\Costume Institute Fashion Plates\_OK for upload:

  1. Create a copy of the worksheet TEMPLATE in Fashion plate metadata.xlsx and rename it as the plates folder name
    • For example, i2078413
  2. Retain only the number of rows of metadata you'll need.
    • For example: i2078413 has 117 plates, so remove the rows for plate numbers 118-end.
  3. Find and replace "i2078481" in the "Local use (item #)" and "file name" columns with the appropriate folder name
    • in this example, i2078413
  4. Find and replace "Women 1848" in the "Title" column with the contents of the V field in the item record for the plate binder
    • in this example, i2078413 has the V field "Wedding 1820-1869"
  5. Replace the year in the "Date" column if the binder contains plates from a single date. If the binder contains plates from multiple years, erase the date data. (These will be added individually later.)
  6. Edit donor names:
    1. Open the Google Document Summer 2012 Intern Scanning Schedule (Epson)
    2. On the "Additional Donor Names" worksheet,
    3. Replace "Gift of Woodman Thompson" in the "Donor-Description" column of the Excel document with the donor phrase in the corresponding plate's "Donor Name" from the Google document.
      • For example, insert "Gift of Leo Van Witsen" in the Donor-Description field for Wedding 1820-1869, Plate 010.

  • When finished, combine all folder data into one sheet.
  • Move all files into the _uploading folder. Compare the number of files with the number of rows in the spreadsheet--they should match.
  • Convert the spreadsheet to a .txt document.
  • Open the text document and delete the hard return at the end. Find & replace all " with [nothing]. Save as a UTF-8 text file.
  • Upload via Project Client.
  • Approve and index on the admin site.
