This document assumes you’re beginning with an Excel spreadsheet of data as instructed on other pages (such as 2. Exporting data from Millennium into Excel)--save as a Unicode .txt file if you haven't already.
Convert to a UTF-8 encoded text file
Open the Unicode .txt version in Notepad.
Turn off Word Wrap under Format > Word Wrap.
Do these edits:
Find and replace “ [double quotes] with [nothing]
Find and Replace all % characters with “ [double quotes]
Delete the hard return at the end of the text file.
Save as… a Text document, but change the Encoding from Unicode to UTF-8.
Folder setup:
Project folder (the "scans directory")
bib # folder (without check digit, e.g. b1717320)
page image file (JPEG of page 1, e.g. b1717320_001.jpg)
page image file (JPEG of page 2)
page image file (JPEG of page 3)
etc.
bib # folder (without check digit, e.g. b1717321)
page image file (JPEG of page 1, e.g. b1717321_001.jpg)
page image file (JPEG of page 2)
page image file (JPEG of page 3)
etc.
bib # folder (without check digit, e.g. b1717322)
page image file (JPEG of page 1, e.g. b1717322_001.jpg)
page image file (JPEG of page 2)
page image file (JPEG of page 3)
etc.
etc.
UTF-8-encoded, tab-delimited text file of metadata, one row for each object/folder. One column must list the names of the folders in the Project folder
Import/upload via client
Open the Project Client and the appropriate project
Select "Add Compound objects"
Select "Object List" from the dropdown menu and click "add"
Choose Type screen:
Select the appropriate radio button (most often "Document")
In the Object List section, point to the appropriate text file and "scans directory" folder.
Choose Mapping Field: select the Folder column in the dropdown.
Display Image settings: Yes
Page information:
Use file names as titles (leave "Ignore information..." unchecked).
Generate transcripts using OCR
Create print PDF
Finish
The objects will be added to the Import screen.
Important: map the metadata fields appropriately from the text file on the "Map fields" tab
The only change you should have to make is to map the imported "folder" to collection fields "Local Use."
Finish
Uploading items for approval
Once the metadata and items have been brought in and the metadata approved, items need to be uploaded to the server for approval by a site administrator.
Imported metadata and items will display in a grid format, each item in its own row:
Confirm that the metadata has mapped into the appropriate fields and that the Metadata Template settings (in the Project Settings Manager; see 1. CONTENTdm Project setup) were set up correctly, automatically populating certain fields. Make adjustments where necessary; re-import the metadata and set of items if appropriate.
Select All and then Upload for Approval.
The grid of items will disappear and you may monitor the upload progress by selecting “View Upload Manager.” This is not necessary, but you must leave the Project Client running during the upload.
Once the upload is complete
Move the uploaded files:
from Q: > _Production Master JPEGs > [Project folder] > scans (or whatever folder they're in)
to Q: > _Production Master JPEGs > [Project folder] > uploaded
Notify one of the site administrators that there are items to approve and index. If you have the authorization to approve and index items, go to the next section.
On the "Item counts" tab of the Digitization Project Chart change the date in the "most recent upload" column to today's date.
Approving and indexing uploaded items
Log in to CONTENTdm Administration server
Items tab > select the recently uploaded collection from the dropdown menu > Approve
Add all pending/new controlled vocabulary terms.
Select the “approve and index all” radio button.
Once the approval and indexing is done, your uploaded items will appear in the public interface.
Troubleshooting
As of Fall 2020, ContentDM is a 32-bit application. It has therefore been discovered that, rarely, some large uploads of page-level compound objects can cause the ContentDM client to exceed its memory allocation and fail the upload. When this occurs, the entry in the error log will be a generic .NET error message such as "Share.exe was not loaded, or a shared region was blocked." The solution to this is to patch the ContentDM Client with NTCore (after downloading NTCore, run it making sure the ContentDM client is closed, and tell it to open C:\Program Files (x86)\OCLC\CONTENTdm Project Client\CONTENTdm Project Client.exe--a successful run will say "Executable Successfully Patched"). Should further issues occur, disabling "Create Print PDF" can also lower the upload size. Once uploaded, a ticket can be placed with OCLC support to convert the upload to Print PDF on the server.
