Fairs are community outreach events designed to promote Health Department services and are characterized as brief interactions which include opportunities to share small bits of information and/or educational materials.
County Fairs Policy
NKY Health participates in only one county fair per calendar year. The county fair is determined by which county is represented by that current District Board of Health Chair.
The Health Fair Coordinator/Public Information staff is responsible for:
Securing a booth
Submitting purchase order for booth space
Soliciting staff to work the booth
Providing materials for distribution
Coordinating the pick-up, drop-off and restocking of materials throughout the fair
Staffing the Health Department booth requires support from all divisions.
Health Fairs Policy
Criteria for Attending Health Fairs
Attendance at health fairs will be at the discretion of the Division Directors, and when necessary, the District Director of Health.
The following criteria will be considered:
Past evaluations of the event, if available
Cost to attend (booth space rental, travel, materials required, etc.)
The expected number of attendees
The date/time of the health fair
The date request was submitted (first come, first served)
The topics requested to address at the event
The target audience reached
Availability of staff
Whether normal NKY Health operations would be impacted by attending the health fair
Roles and Responsibilities of Health Fair Coordinator
The Health Fair Coordinator will:
Review requests for attendance at health fairs.
Distribute details about the request and relevant information from attendance at the same event (if applicable) to the division directors to determine if NKY Health should participate.
Communicate decision to attend or not attend the event to the requesting organization.
Coordinate supplies of general educational materials to be given at health fairs and make sure supplies are available at each site. An emphasis will be placed on distributing materials that were created by the Health Department. Materials from other organizations may be used to supplement general Health Department information.
Provide support as needed to staff participating in the event.
Obtain evaluations of each event attended.
Track evaluations.
Compile an annual report detailing participation and evaluations.
Maintain list of staff interested in attending health fairs and topics covered.
Roles and Responsibilities of Division Directors
The Division Directors will:
Review requests and information provided about attendance at previous events and determine participation.
Identify staff to participate in the event and communicate staff names with the Health Fair Coordinator and other division directors (as applicable).
Roles and Responsibilities of Staff Attending Health Fairs
Staff attending the health fair will:
Respond to Health Fair Coordinator’s request for information.
Confirm details of event with health fair organizers.
Compile educational materials to take to event, including the general information materials and those specific to health fair’s target audience and materials from other divisions. Ensure that materials are appropriate for anticipated audience. An emphasis will be placed on distributing materials that were created by the Health Department. Materials from other organizations may be used to supplement general Health Department information.
Attend health fair.
Return any unused materials to proper storage spot.
Complete evaluation and Community Health Services Report.
