You are responsible for monitoring your University email address for communication from your program and other University bodies. Failing to check the email does not excuse you from issues that arise as a result.
When you apply, your permanent address provided is used as your location, and will remain as such until you update it. You are responsible for updating your location should you move, in order to meet with State and Federal regulations about certain learning activities necessary to your degree programs. Failure to do so, may result in you being unable to participate in these experiences and, as such, being unable to complete your degree.
In order to register, you must provide a local address and emergency contact.
You are responsible for maintaining an up-to-date record of your name, address, and email address in GUExperience. Documentation is required to register a name change.
You should familiarize yourself with the University-wide policy for instructional continuity, listed below, as well as your individual course/instructor’s policies.
Instructional activities will be maintained during university closures. Faculty members should prepare for the possibility of an interruption of face-to-face instruction by establishing a policy within the course syllabus to maintain instructional continuity in the case of an unforeseen disruption. During a campus “closure”, the regular class time schedule must be honored by all campus departments so that students will remain available for those faculty members who wish to maintain continuous academic progress through synchronous distance instruction.
Classes will only be “canceled” in very rare circumstances, so you should be prepared to attend class in whatever continuous method your instructor has prepared, regardless of campus closure.
The Revenues and Receivables department is responsible for accurately charging your account, issuing bills and processing payments in a timely manner, and refunding overpayments in your accounts, all in accordance with University policy and federal law. By registering, attending classes, or participating in other activities associated with enrollment at Georgetown University, you accept financial responsibility for charges made to your account (including tuition, fees, room, board, and fines.) This responsibility lasts until you have made payment for all charges you incur.
Georgetown only issues electronic bills. When you receive a new bill, you will also receive a notification email to your Georgetown email account. You can find an unofficial billing calendar here.
If your payment on tuition and fees for an Academic term are not made before the end of registration period, you will receive a Non-Payment fee.
Failure to pay any charge by the due date will result in a 1.50% service charge, assessed monthly.
If a third party sponsor is providing funds for any or all of the charges on your account (like a Government or private company), the Office of Revenues and Receivables (R&R) will charge them directly at no cost to you. You must, however, submit documentation from the third-party explaining their obligation to you before the Office of R&R is able to do so. The Office of R&R can grant temporary exemptions from late fees or other penalties to give third-party sponsors time to process payment, but at the end of the day failure on their part to pay leaves the financial responsibility with you, the student.

If you have outstanding balances on your account that have not been paid, you will not be able to register for classes, receive an official transcript, or graduate. These financial holds remain in place until the balance due is paid in full.
Generally, in order to receive a refund for overpaying, the Office of R&R requires you to submit a request. There are two exceptions to this:
Payments for an academic term from Title IV sources exceed institutional charges
You have become inactive while retaining a credit balance
If for whatever reason your refund request is denied, you will receive an email indicating the reason.
When you become inactive for whatever reason (graduating, failing to register, etc.) all debts owed to the University are due within 30 days. Failure to pay by that time will result in the University outsourcing the debt to a third party collection agency.

Taking an LOA with the intent and eligibility to return puts you into “Inactive Status with Privileges” (IP.) Going into IP status carries the following consequences:
You are not permitted to register for, attend, or audit Georgetown classes
You are not permitted to live in GU residential facilities
During the period of leave, your University GOCard is partially deactivated. You will not be able to access your residence hall or Yates
You will not be able to borrow books from the library nor request any interlibrary loans
You are not permitted to participate in events, activities, programming or services reserved for currently enrolled students at Georgetown University, including (but not limited to):
Commencement activities
Student membership at Yates Field House
Participation in campus clubs/organizations/sports
Events and programming which are limited to currently enrolled students
All Graduate Career Center Services
You retain the following privileges:
You continue to have access to your GU email, not just forwarding
You have access to some NetID- enabled online resources such as GUExperience
You have access to online library databases for research and are able to download electronic resources
If you transfer, withdraw without intent to return, or are dismissed, you enter “Inactive Status” (IS.) Going into IP status carries the following consequences:
You are not permitted to register for, attend, or audit Georgetown classes
You are not permitted to live in GU residential facilities (if applicable)
Your University GOCard is deactivated so that you do not have GOCard access to the library, residence halls, Yates, computer labs, etc.
You are not permitted to participate in events, activities, programming or services reserved for currently enrolled students at Georgetown University, including (but not limited to):
Commencement activities
Participation in campus clubs/organizations/sports
Events and programming that are limited to current students
All Graduate Career Center services
You will not have access to their GU email
You will not have access to NetID enabled online resources, including GUExperience
If you complete your program and graduate, you are placed into “Inactive ‘Completed’ Status” (IC.) Entering IC status comes with the following privileges:
You continue to have access to their GU email, not just forwarding
You have access to some NetID enabled online resources, including GUExperience
Access to Georgetown Alumni Online Resources
Receive alumni discounts on a membership to Yates Field House and theater, music, or dance performance in historic Gaston Hall or at the Royden B. Davis, S.J. Performing Arts Center
Free access to online resources through Library Link and in-person access to the main campus, law center and medical libraries
