👩🏻💻 Understand the different roles available in your system, and how to use them
Roles determine access to features and data for a user. A user can have one or many roles, and are restricted to the permissions of that role when the access the system using it.
The Neighbourhood House Solution includes four roles as standard
Role
Access and Permissions
Admin
The admin role has full access to all records and features of the solution, including the ability to generate new templates, forms and manage users.
Bookkeeper
The bookkeeper role has the ability to view all standard records, as well as the ability to create, edit and delete the following records
Agencies (if configured in the solution)
Assets
Attendances
Contacts
Employees
Facilitators
Food Bank Transaction (if configured in the solution)
Free Store Transaction (if configured in the solution)
Grants
Individual Service Transactions (if configured in the solution)
Organisations
Provided Meal (if configured in the solution)
Rental Bookings (if configured in the solution)
Tasks (if configured in the solution)
Transactions (if configured in the solution)
Vouchers
Volunteer
The volunteer role can be used by volunteers/facilitators to take attendance for sessions
Committee
The committee role has read only access to all records in the system (same scope as Admin), including the dashboard and reporting
Roles are allocated to users via the Manage Users page, for more instructions refer to this article:
When a user is allocated more than one role, their login experience will be slightly different to those with single roles.
After entering their email and password on the login screen, instead of directly accessing the system, they will see an intermediate screen where they can choose which of their allocated roles they want to use to access the system.
Any restrictions on that role will be in place when the user accesses the system with it, ie. if I choose to access the system with the volunteer role, I will only be able to see the Take Attendance UI, despite having access to more information by also having the admin role.
If a users has more than one role, and what to swap between roles, they can do so via via the navigation by going to Setting > Change Role which will take them back to the "Select Role" screen where they can choose something else.
