The number of people who can access your system is controlled by the number of user licenses you have purchased for each role.
This will vary based on what package you have purchased from us, and any additional licenses and roles that may have been configured, but the process works in the same way.
NOTE: The management of users, and viewing of license information is restricted to Admin users only.
To see the number of licenses you have available and allocated, go to Settings >System Settings >Manage Users
On the manage users screen you will see
The Roles that are available in your system, eg. "Admin", "Volunteer", "Bookkeeper", "Committee"
The number of users that have allocated each role
The number of licenses available for each role and how many have been consumed
📘Did you know?
Users with the Admin role do not consume licenses of others roles. Eg. If a user with an Admin role is also given the Bookkeeper role, they will only consume one admin license, and not an additional bookkeeper role as well.
This is how it is possible to have more users allocated to a role than licenses available.
By default, when entering the Manage Users page, we will see a list of all users in the right hand panel.
It is possible to see what roles a user has by
1. Looking at the Roles column
2. Clicking on an individual user and looking at the Roles field.
NOTE: To see how to apply roles to users refer to the this article.
Likewise, it is possible to filter the full list of users down to just those that just have a certain role by clicking on that role in the left panel (eg. clicking to see users that have the Bookkeeper role on the example below).
This will also update the "Uses License" column, which makes it easier to see which users are consuming a license for that particular role.
The Manage Users screen also provides useful information, like how many times a given user has logged in, and also their last login time and date. This can be helpful for you to track how the system is being used, and who is using it the most.
