A. A student submits his/her request to the Department Chair/Program Director (cc: Registrar, registrar@ateneo.edu). The email should include the following:
1. Subject Title: REQUEST FOR VALIDATION - Student’s Last Name - Degree Code (e.g. REQUEST FOR VALIDATION - Dela Cruz - MA POS)
2. Student’s Name
3. Student’s ID Number
4. Degree Program
5. Subject(s)/course(s) he/she wishes to validate
a. Semester & School Year taken
b. catalog number
c. course title
d. no. of units/credits/ECTS
e. grade
f. category (core/foundation, major course, major elective, etc.)
6. For validation of courses taken in ADMU, indicate original degree program if validation is due to shifting degree programs
7. For validation of courses taken from other school, indicate the following:
a. Reason for taking course/s (e.g. Exchange Program, Dual Degree, Cross-Enrollment, etc.)
b. School where he/she took the subjects
NOTE: The Student must attach a scanned copy of the transcript of records/copy of grades from the school where he/she took the subjects.
B. The home department chair/program director replies to all with the following:
1. Approval/disapproval of the request, if there are no additional requirements needed. If the request is disapproved, the process ends at this point.
2. If the decision on the request is still pending because there are additional requirements that the student needs to comply with (e.g., validation exam). The following information should also be included in the email:
a. List of additional requirements that the Student needs to comply with
b. Deadline for student to comply with requirements
c. Expected date of decision on the request
C. Once all the requirements are met, the home department chair/program director will reply to all with his/her approval and include in the email the following information about the approved equivalent course(s):
1. Semester & School Year
2. catalog number
3. course title
4. number of units/credits/ECTS
5. grade
6. category (core/foundation, major course, major elective, etc.)
D. The Registrar shall reply to all and indicate in the email that the request is subject to their review and approval.
E. The Registrar shall evaluate the request according to their guidelines for validation and email its decision to the Student and all copied offices.
1. If the request is approved, the Registrar updates the Student’s records accordingly.
2. If the request is disapproved, no changes will be made in the Student’s records.
Note: Original Transcripts of Records (TOR) from other school/s must be submitted to the Office of the Registrar for inclusion of transfer of credits in ADMU TOR.
