A. A student submits a request to the home Department Chair/Program Director and the Department Chair/Program Director of the program they wish to shift to. The student copies the following offices in the email:
For scholars
a. OAA, if the student is an ASF scholar (scholarships.ls@ateneo.edu)
b. OAVPGE, if the student is a scholar of the OAVPGE/CHED (finaid.graduateeducation@ateneo.edu)
c. SOSE Dean, if the student is a DOST scholar (dean.sose@ateneo.edu)
2. OAVPGE (info.graduateeducation@ateneo.edu)
3. Registrar (registrar@ateneo.edu)
The email should include the following:
1. Subject Title: SHIFTING - Student’s Last Name - Current Degree Code (e.g. SHIFTING - Dela Cruz - MA ELLT)
2. Student’s Name
3. Student’s ID Number
4. Degree Program
5. Current SY and Semester
6. Program Student wishes to shift to
7. Reason(s) for Shifting
8. Type of scholarship, if any. (e.g. DOST ERDT)
NOTE: The policy for changing degree program (see: Graduate Student Handbook 2024 Edition, pp.31-32) states that students may change degree program provided:
1. obtains permission from their home department and the accepting department;
2. follows the procedure and deadlines set by the Office of the University Registrar;
3. shifts within their last term of enrollment;
4. is well within the residency; and
5. has not filed for a clearance for graduation
B. The student’s home Department Chair/Program Director replies to all listed in the original email with the approval/disapproval of the request.
C. The Chair/Director of the Department/ Program offering the program the student wishes to shift into replies to all parties in the email thread with the approval/disapproval of the request.
D. The OAA/SOSE Dean, AVPGE, and Registrar will also reply to all parties with their approval/disapproval of the request.
NOTE: A program of study, signed by the Chair/Program Director, must be provided to a student who will go beyond the residency term limit as a result of the shift. The program of study should indicate how long it would take for the student to complete the new degree program. The student must file for a request for extension one semester prior to the end of his/her residency.
E. Once all approvals are received, the Registrar updates the student’s records on AISIS.
