The Athletic Department requires GHSA Eligibility Process completion for interscholastic sports and the Collection of student athletic team participation rosters are required for the Federal Reporting to OCR. The following Infinite Campus tools and steps below will assist schools with reporting team sports information for district, state and federal reporting.

GHSA Eligibility Tool
To Process GHSA Eligibility (High School):
Select the appropriate Year and School
Main Menu > GA State Reporting > Reports > GHSA Eligibility A Admin.
Select Method of Calculation.
Transcript Method: Only final grades posted to the transcript will be used in calculating eligibility. Fall eligibility should always be calculated using the Transcript Method option. For Spring eligibility, the Posted Grade method should be used if you have not posted scores to the transcript. If you have, then use the Transcript Method.
Posted Grade Method & Middle School Method: Posted grades will be used in determining eligibility. Grades do not have to be posted to transcripts when using this method.
Report Period: Select the GHSA report period
Term: Select the term where the grades are posted
Select Calculate GHSA Eligibility
The message should appear stating "Transcript Method of Computation Completed Successfully".
6. Eligibility Criteria will appear in the Athletics option under Related Tools for each student.
To mark Transfer Eligibility Students
Go to the student and click on the Athletics option under Related Tools.
In the second section under District Defined Elements, locate the GHSA Transfer Eligibility field:
TE: Transfer: Eligible
TI: Transfer: Ineligible
NOTE: All students who have transferred into the district within the last calendar year should be set with a GHSA Transfer Eligibility. The Transfer Eligibility is not automatically calculated.
To Export a file of Eligibility Students, under Student Information > Reports > GSHA CSV Extract.
The file will automatically download or will prompt you to open/save the file depending on your browser. This will allow you to upload a file to GHSA.
1. All Athletic Courses begin with ‘SP.’
2. To pull in new courses go to Scheduling and Courses > Courses > Add Course
3. On the Course Creation screen, highlight all applicable Athletics Courses for your school and click Select "Batch add these Course Masters".
**To select multiple courses at once hold down the CTRL key.**
4. Select OK when the confirmation dialogue box appears.
Creating Sections
1. Go to the Search tab, select Course/Section from the dropdown, enter SP. and click Go.
2. Click on a Team course number.
3. Select Add a Section.
4. Enter a 1 for the Section Number, scroll to the bottom of the screen to locate the Section Schedule Placement.
5. Locate the Period Activity period and select the box to select all the terms and rotation in that period.
All sports should be checked across all terms regardless of the term they occur.
6. Click Create Section.
7. Select the Section Staff History option under Related Tools.
8. Click New Primary Teacher.
9. Select the name of the coach for the related sport from the Name dropdown.
10. Click Save.
Mass Scheduling Tools Update
Infinite Campus has removed access for all school districts to the mass scheduling tools like Roster Copy and Roster Setup. In a few special circumstances, like mass rostering team rosters, schools can request temporary access to the Request and Rosters tool by completing this form. Once approved, users will have 48 hours to complete their scheduling updates, follow the steps below to load the rosters.
Loading Rosters using Requests and Rosters
1. Go to the Search, select Tool for Type, search for Requests and Rosters.
2. View by Courses.
3. Select Filter.
4. Under Course/Section Filter, select the SP course needed under Course drop-down.
5. Click Close when complete.
6. Select the > to open the + Roster Builder.
7. Select the students needed, once selected the students will appear with a check mark beside each name in the student listing.
8. Click Save & Close when all students have been selected, Confirm Save, Click Save & Close to create Roster. The students should then appear under the + Roster option.
2. Under Search option, search for the student.
3. Select the student, under the Athletic Information screen, select New Status.
4. Enter/Select the following information
Status Date - Date information was entered.
Insurance Card of File - Yes/No
PPE Clearance Status
N: Not Cleared
C: Cleared
CR: Cleared with Restrictions
PPE Exam Date
School Year
5. Click Save
Make sure PPE Form and Media Release is uploaded to student's document tab with the following naming convention:
PPE Form (ex. PPE_JSmith)
Media Release: (ex. MR_JSmith)
Athletics Contact Log
Select Contact Log from Related Tools.
2. Select New.
3. Enter Contact Date/Time of Log ( date and time will automatically default to current date and time).
4. Select Contact Type: Athletics.
5. Enter Contacted (i.e. Father, Mother, etc..) by clicking into the field to select the contact.
6. Enter Details of conversation with the contact.
7. Click Save.
