Attendance virtually or in person is an essential part of the whole learning experience and will be tracked and reported on. AISE expects students to be present, punctual, prepared and to actively participate in the learning process every day.
After-School Detention:
Students who receive a tardy for any class, including SA period, will serve an after-school detention the following school day. (Ex. student is tardy block four on Tuesday will serve after-school detention on Wednesday)
Detention will be held from 3:00 PM to 3:50 PM, Sunday through Wednesday.
The office will send out an email to parents notifying them of the students after school detention which will take place the next school day. If the tardy takes place on a Wednesday the after school detention will take place on Sunday.
Failure to Attend After School Detention:
Students who fail to attend their scheduled detention will receive an Out-of-School Suspension (OSS) and a mandatory parent conference.
Chronic Tardiness:
Students who demonstrate a pattern of chronic tardiness across multiple classes will be referred for a parent meeting with Vice Principals (VPs).
Further interventions, including referral to the Principal, may be implemented for persistent issues.
Students may be placed on behavior probation if they demonstrate a pattern of tardiness/attendance issues.
Behavior probation will not allow students to participate in extracurricular activities or trips run by the school.
Absence
15 absences from a specific class may cause a loss of credit for that class.
Absent Tardy: A student is marked Absent Tardy (AT )in PowerSchool if he/she is 10 or more minutes late.
At AISE we are aware that students may have valid reasons for an absence. Parents must notify the High School office hsattendance@aiswest.com explaining the reason:
At least two weeks in advance of any planned and/or prolonged (2 or more days) absence.
Within 24 hours after an unexpected absence (sickness, emergency, etc), with supporting evidence such as a medical note.
Any medically related absence will be approved for only one day and will be counted as an excused absence then starting the next day, an official medical documentation has to be submitted to excuse any further absence. Parents are required to provide all documents at the school clinic : clinic@aiswest.com
If a student is absent during an assessment day, an official medical documentation has to be submitted to excuse his/her absence even if for one day only. clinic@aiswest.com
Excused absences include but are not limited to:
Child illness/injury (if in attendance, students must first visit the AISE Clinic)
Visa appointments (requires documentation)
Serious medical conditions
Death of a family member
Medical/dental appointment which cannot be scheduled before or after school (requires documentation)
National team obligations that have been approved by administration.
For SAT exams overseas, only the Thursday before the exam and Sunday after the exam will be excused.
Students will have time equivalent to the number of excused days absent to catch up on missed work and/or submit missing assessments. Note: Teachers may adjust the format/details of the assessment to prevent plagiarism.
The school calendar clearly shows dates when school is not in session (holidays). Parents are expected to plan family holidays within these dates.
Students with 15 or more absences (excused or unexcused) may receive a loss of credit for that class.
Please note:
Students should make medical appointments, travel plans, and other appointments outside of school hours;
Students who participate in school-sponsored events or activities are expected to attend classes on the day of the event or activity when possible;
Students who participate in a school trip/event must attend school the day after;
Students are expected to take exams the day they return to school unless previous arrangements were made with the classroom teacher. If this is a planned absence for a National Team or a school trip, students must make arrangements with the classroom teacher in advance for work and tests missed.
Students who are absent (unexcused) on the day of an assessment will not have an opportunity to retake the assessment at a later date.
*The Principal has the final word on all attendance issues.
AIS West is proud to support students who participate in athletic teams at the national level. In keeping with the policies of the Egyptian government and AISE, absences that result from national-level participation for games and tournaments will not be counted towards total absences. However, trainings and daily practice sessions are not excused absences and will count towards the total absences of the student. Please ensure that you schedule practices and trainings after school hours.
It is the student’s responsibility to submit documentation to the High School Office that will identify them as a national level athlete, clearly stating official dates of absences. This documentation must be submitted for each period of absence. Upon submission of this documentation, the student must sign a National Team agreement with the High School Principal indicating they are aware of this policy and their related responsibilities.
Once the student, parents, and Principal sign the agreement, the student will be cleared for national representation. Students will be given time upon returning from their representative duties to catch up with work missed and submit overdue assessment tasks. The time allowed will be equal to the number of days missed or the end of the grading period, whichever comes first.
Making up Work After Absence
It is the student’s responsibility to arrange to make up their work as soon as possible after their absence. Students who miss an in-class assessment must make up the assessment the next class day. An assessment can only receive a grade in the gradebook if the absence was excused within 5 calendar days of the absence. Quizzes and tests need to be made up during class time or as arranged by the teacher. Preferably, the student will make the assessment up during the first class they are back in school. Students will need to have an excused absence coded in PowerSchool in order to receive credit; however, the purpose of assessment is to provide feedback. If a student is absent unexcused, it will be marked in PowerSchool “A”absent. If the students are excused there will be a comment next to their name. Special consideration will be given to students that have an extended excused absence due to health related issues. If there is a medical issue the school Dr. will email out to staff the excused absence. Amina will change the absence to ensure it is marked absence excused.
Extended Absences - Impact on grade or loss of course credits
For students who exceed the 15 day absence policy, the school reserves the right to impose academic penalties for absences. Students who have exceeded the maximum number of days of absence will not be permitted to take any test/exams missed due to absence. In addition students will lose a specific percentage of points based on the Homework Policy each day an assignment is submitted late due to days absent. The teacher will be notified by administration to apply these sanctions. Students who continue to be absent during the school year, despite the above interventions and consequences may be required to repeat a full school year or lose academic credit for that year, except for an approved medical exemption or other extraordinary circumstances. Once the student has exceeded the number of allowable absences, he/she has the right to appeal to the Principal.
During Lunch and Nutrition time
Students must have a pass to be inside the building and on the academic floor. Teachers must write passes to students prior to nutrition or lunch time for a student to be in the academic area. All students must be outside for nutrition and lunch if they do not have a specified pass to see a teacher or the main office.
