Madison Residency Program

Who to Go to with Concerns Protocol

University of Wisconsin - Department of Family Medicine and Community Health (UW-DFMCH)

Created by Madison Residency Program Director 2009. Reviewed Spring 2022

Scope:

This protocol pertains to residents in the UW-DFMCH Madison Residency Program.

Purpose:

The purpose of this protocol is to outline the types of concerns residents are encouraged to share and the steps residents should follow when they have concerns to be addressed.

Background:

The Madison Residency Program Director and Associate Program Directors NEED and WANT resident feedback. This programmatic feedback is viewed as part of professionalism. It is also a way to contribute and leave this place "better than you found it."

Residents have the Program Director’s/Associate Program Directors’ word that residents who share concerns will be protected from any repercussions or retaliation. It is also OKAY to share concerns anonymously if that's more comfortable.

Protocol:

Types of Concerns to share:

• Disrespectful attitudes

• Unsafe Patient Care

• Lack of feedback or attention to supervision

• Unprofessional behavior: attendings, residents, staff

• Work hours violations

• Lack of support when instituting back-up

• Unsupportive work environment in any way

• Inappropriate humor

• Mistreatment, disrespect, or harassment based on gender, race, age, sexual orientation, ethnicity, religion, etc.

• Impairment (for whatever reason) in a colleague, faculty member, etc.

• Any of the above sorts of situations on ANY rotation on ANY service

• ANYTHING!!

SMPH Ombuds: The campus Office of the Ombuds for Faculty and Staff will now serve employees at SMPH. This transition follows the retirement of our long-time ombuds and the opportunity to consolidate services through the Office of the Provost. Emeriti faculty and staff with part time appointments share the duties of the campus office.

An ombuds will listen to your concerns, clarify procedures, explore options and, if requested and appropriate, serve as an intermediary in attempting to resolve disputes. Ombuds work independently from University administrative units and discussions with ombuds are confidential. The Ombuds Office is not authorized to accept notice of claims against the University.

To initiate a consultation, call 265-9992 and leave a message. Time and place to meet are flexible: main offices are in 223-225 Lowell Hall; 2262 HSLC may also be available. You can find more information on the Campus Ombuds website (https://ombuds.wisc.edu/).
