Lounge Overview & Standards
The lounge is designed to enhance the experience for a specific attendee type and must meet certain standards. Access is restricted, and partners sponsoring the lounge will receive a limited number of wristbands for entry
What’s Included in Your Lounge Package?
Standard furniture (tables, chairs, sofas) for lounge capacity
Carpet in anthracite or neutral color
Fencing to enclose the space
Dual-branded elements: tent cards (optional), hanging banner, and archway entrance, designed and provided by the organiser
Venue Wi-Fi and one ethernet cable
Two 3m x 3m dual-branded walls, designed by partner using templates from the organiser (except for executive lounge)
Semi-private meeting space for four (open and not lockable)
Regular cleaning
Basic catering
Electrical power based on lounge capacity (extra power for brand activations must be purchased)
Your Partner Success manager will discuss further details with you
Event Rules
Capacity monitoring by volunteers or security at the lounge entrance
Web Summit may scan attendees at the entrance for internal data collection
Pop-up/pull-up banners are prohibited
All exhibitors must follow Web Summit’s anti-harassment policy and event policies.
The lounge should clearly indicate its audience and include the lounge name in any partner-created signage placed within the space. The following formats are recommended:

To ensure consistent use of the Web Summit brand and Lounge name, the organiser will design most of the items included in the provided build assets.
The creative team will develop a logo lockup, which will require partner approval. Once all parties have signed off, this logo lockup will be used on all printed event materials requiring the Lounge logo. More details can be found here.
For this, the partner must supply:
EPS logo
Main hex colour code
These will be used for the lounge arch, tent cards, and hanging banner. Your Partner Success manager will share mockups for approval before printing.

Design Specifications
Templates provided are AIT files (Adobe Illustrator).
All artwork must be in CMYK with 20mm bleed.
Do not edit, move, or resize any templates.
Artwork Requirements
Colours: CMYK
Images/photos: embedded, not linked
Logos: vector files; fonts outlined
Large images: save as CMYK, 150 dpi
TIFF/PSD files: flatten before embedding
Forms & deadlines
Complete your onboarding form and the attendee hub as soon as possible.
An onboarding form will be sent to you by email. This form helps us gain a better understanding of your objectives for the event and identify who will be managing your tickets and should receive our communications.
Attendee hub - you should have received an email to complete your company exhibition profile for our website and mobile app. If you need to update this profile you can manage it by logging into your Attendee hub. Please note only one team member can manage your company profile.
Once your company details have been submitted, your company profile will be featured on the Web Summit website and – when it’s launched closer to the event – the mobile app.
Please note, failure to complete and submit this form will result in delays in promoting your online presence at the event and may result in exclusion from any additional contracted marketing perks.

Important information
The lounge will be covered by the venue Wi-Fi. Our networks are carefully planned and designed to provide the best possible experience for our partners and attendees.
Any brand activation within the lounge must be approved by the Web Summit team. If you plan to have any type of activation and it requires connectivity, please contact your PS manager.
Once your activation is approved our ICT team will review your requirements, and if additional connectivity is needed, we will schedule a meeting to align on this topic. Any additional internet/connectivity must be approved by our team and purchased through the Partner Store, before October 6th. Approval of your project, additional connectivity and dedicated Wi-Fi are subject to the limitations and availability of each pavilion.
Use of any external network hardware such as routers, switches, access points, chromecasts, mobile tetherin, and MiFi devices are strictly prohibited at the event.
Basic Catering
Provided build lounge package includes basic catering consisting of tea, coffee, water.
Additional Catering
Partners may expand on the catering offer at their own cost.
Official Supplier
Web Summit has an official catering supplier. Please contact your Partner Success manager for an introduction and further details.
Access to the lounge is possible from the opening morning – Tuesday, November 11 from 7am. Please note you will need your Partner ticket to get access at 7am.
The conference floor will open for General Attendees from 8:30am on Tuesday, November 11.
Activation items must not be removed from your exhibition space until after 6:00 PM on Thursday, November 13, or once the venue has been fully cleared of attendees, and all items — without exception — must be removed from the venue by 11:30 PM the same day.
Please ensure appropriate arrangements are made for trash, boxes, fixtures of items to be shipped. Any items not removed from the venue will be deemed as rubbish and the associated cost of removal will be assigned to the exhibitor.

Waste Disposal
Web Summit has long supported the UN Sustainable Development Goals (SDGs) and is committed to advancing their progress.
Single-Use Plastic
As part of its 2030 Sustainability Strategy, Web Summit strives to be a Zero Waste event. As such, there will be zero tolerance for any single-use plastic being onsite. Web Summit would appreciate your support in this regard to ensure the event is as sustainable as possible.
Fines
Partners and contractors who abandon materials or do not manage the disposal of their waste in accordance with the venue’s policies will be billed post-event at a rate of 1000€ by the event organiser.
Cleaning
The lounge includes basic daily cleaning after event days. The Organiser will provide regular daytime operational cleaning for the Lounge, including surface cleaning, bin disposal, and one vacuuming of the space per day. If your lounge requires specific cleaning or cleaning during the event, please contact your Partner Success Manager with the specific requirements for more details and quotations.
