Welcome to the Finance Team! This is a dedicated place to learn the basics to start working in Finance.
The Finance team is special as we work on the following tasks:
Helping students understand their balance and financial status, this includes providing itemized invoices.
Adjusting students’ tuition and balances.
Guiding students through the process of payment and basic troubleshooting.
Escalating appropriate cases to Finance Tier 2.
Help on special projects provided by the Salt Lake City team.
We use 2 main tools:
Reach, to select cases.
Anthology, to make adjustments and understand the financial situation of students.
We work on the Finance Queue
Billing Methods are used based on the Program Versions a student is enrolled in. Every Program Version is encoded with a specific Billing Method, which will determine how the student is charged for courses.
There are four (4) Billing Methods:
Religion: All religion courses, except for REL261, don’t have a tuition charge.
Preferred Path: This is calculated if the student has completed PathwayConnect, and the country the student is residing.
Advanced Path: Regardless of the student’s residency, every direct admin student will be charged the same rate. In other words, students who didn’t complete PathwayConnect.
Friends: Students who are not members of the Church of Jesus Christ of Latter-day Saints will be charged an extra 25% to the tuition rate base. This applies to either Preferred or Advanced paths.
Our main tool of work is Anthology. You must have the tile called “Student Accounts” to be able to work on Finances. However, other parts of Anthology are useful for us. For example:
Group Memberships
Residencies and Related Addresses
Student Courses
School Fields
Audits (Not related to the Degree Progress Audit)
The Ledger Card is the main source of information and the workspace you will be spending the majority of your time. On the Ledger Card, you have all the financial history of the student.
Here you will find all the charges (tuition or fees), discounts and payments applied to the student account. All charges are shown as positive numbers on the Ledger Card. A tuition discount is considered a negative charge because it removes that amount from the total Balance. All negative charges are indicated by parentheses.
On the Ledger card, you will be making the proper adjustments if needed.
One of the main students' concerns is about their tuition charges. For that reason, we need to know how tuition is calculated. Remember tuition charges are related to the number of credits the student is registered for the term.
Advanced Path: As explained before, students who don’t complete PathwayConnect and are directly admitted will be charged the Advanced Path rate regardless of the country the student lives in. The actual rate for these students is $147 per credit.
Preferred Path: This is for students who have completed PathwayConnect, which grants them a reduction in tuition. This is according to the following criteria:
Residency: Depending on the country where the student is located, the rate will vary
Number of credits: How many credits the student has registered for the term, NOT the number of courses.
You can find the updated rates on the BYU-Pathway’s Tuition Calculator (https://www.byupathway.edu/tuition)
BYU-Pathway Worldwide offers several tuition discounts and scholarships to help make education more affordable. These are available for both incoming and current students. Here’s a breakdown of the main options, including how to qualify, the duration of each, and when you can reapply if needed.
Heber J Grant (HJG): Thanks to generous donations, this tuition discount applies to all courses associated with PathwayConnect and online degree programs from BYU-Idaho and Ensign College, supported by BYU-Pathway.
Eligibility: all students
Duration: 2 years, the student will need to reapply after this time.
Amount: It varies. Students can be eligible for 10%, 25%, or 50% discount depending on the answers they provide to the survey on the Student Portal.
Returned Missionary:
Eligibility: Students who completed a full-time mission for The Church of Jesus Christ of Latter-day Saints within the last 60 months (5 years). This discount does not apply to senior missionaries.
Discount Amount: Students receive a 25% discount, which is automatically applied to their account when their Pathway account is linked to their membership record.
Duration: Student can receive this discount every term/semester up to 5 years after they return home from their mission.
Mentor Bridge Scholarship:
Eligibility: Current BYU-Pathway students who are referred by a BYU-Pathway mentor and meet financial need criteria. One full term must be completed before a student can apply for this scholarship.
Discount Amount: 50% off tuition.
Duration: Awarded for 1 term/semester. Can only be awarded once a year.
There are other discounts that we don’t offer to students, but they are applied according to their needs:
Legacy 100% Discount: Some students who decided to stay with BYU-Pathway and had FAFSA when the transition to the 3-Year Degree happened have been awarded a 100% discount until they finish their degree. We can only check this on the student’s Ledger Card.
Country Discount: Students of some countries, based on their financial needs, have been awarded an extra country discount. This discount is linked to HJG; if the student applied for it before December 2024 and they are on the list, the discount can be applied. Once that HJG expires and they renew it, the country's extra discount will not be renewed. This is the list of countries.
There are cases or topics that we cannot work on Finance Tier 1. For those cases, we will need to escalate them to the Finance Tier 2 queue. These topics are:
Change the student’s billing method
Change the percentage of HJG
Refunds
Payment issues after the troubleshooting steps are being done
Any other case your STL indicates.
If you have already contacted the student, and an escalation to Tier 2 is needed, please inform the student that you will escalate to a more specialized team. Leave detailed notes of what you have done and the help needed from the Tier 2 team. Use the following template:
Student ID
Concern: explain the student’s issue
What has been done: explain what you have done so far to help the student.
Help needed: Be very detailed on what is needed from the other team
Your name
Date of the note
Add the case to the Finance Tier 2 Queue
