When a Guest want to extend their stay at the hotel, follow the steps below...
1.- Create New Reservation
You will create a new reservation for the additional nights ONLY in a brand new Reservation. Search for dates the guest is requesting
2.- Verify Room
Verify the exact room type on the existing reservation and book for the same room type. Click on Book now and advise guest of pices and cancelation policy.
3.- Advise Guest of New Reservation
Provide guest with their additional itinerary number and advise them they will receive a copy via email.
4.- Call the Hotel
Ask the hotel to keep the guest in the same room. document in the notes the Name of the Front Desk Person.
How to Change Name?
If a guest wants to change the name of the reservation we have 2 scenarios, pay attention.
How to Upgrade Bed or Room Type?
If a guest wants a upgrade their reservation we have 2 scenarios, pay attention.
How to Upgrade With Penalty or Non Refundable If Prepaid?
Follow cancellation process by calling the hotel for a FOC (fee or charge).
If Hotel Approves FOC
Raise a ticket under Billing and refund.
Advise guest that refund will be subject to approval.
Offer rebooking to Guest using Credit Card.
If Hotel Denies FOC
Inform the guest that the reservation can not be changed (except agent error/booking error)
