Entry Process

Entries are only accepted via the online entry form.

Scout Leaders are encouraged to enter their own Patrols directly, and can submit the entry form as soon as it is known that an entry is intended. If the required information for a mandatory field is not known at the time of submission, 'to be advised' may be entered.

The email addresses entered on the form will each receive a link allowing them to edit the entry later on to provide missing (or change existing) details. The email may be forwarded to others so that they can edit/update the form.  Please add emlyntrophy1925@gmail.com to your 'safe sender' list to avoid emails being flagged as junk mail.

Entry Deadline

The entry deadline is 1st September, but entries may be declined if the event is significantly oversubscribed (see below) .  If you are intending to enter, but are not yet able to fully complete the form (e.g. because names are not known), please register now - the form can be updated later.

Entry Fee

The entry fee for the Emlyn trophy competitive and non-competitive Patrols is £70.00 per Patrol.

The entry fee for the cooking competition only is £5 per person.

There is a nominal limit to the total number of entries (to ensure all can be accommodated on the camping field):

Confirmation of Entries

If the event is significantly oversubscribed, successful/unsuccessful entries will be confirmed in early September and a list of confirmed entries published on this page.

District Eliminator

There is no requirement to hold a District Eliminator competition to select Patrols to enter the County event, though it is understood that some Districts organise these as District events.

Age Limits

All Patrol members must be less than 14 and a half on the Sunday of the competition.

Patrol Composition

Patrols must be made up of either 4, 5 or 6 Scouts.

Eligibility Criteria

To be eligible for trophies associated with the main competition, Patrols must meet the relevant composition criterion on arrival (unless late arrival arrangements have been agreed in advance), and all Patrol members must remain on site throughout the weekend, unless:

Notwithstanding the above, the camp leader reserves the right to declare a Patrol ineligible for trophies if it is believed that they have gained an undue advantage as a result.

The Patrol will still be judged, but will cease to be eligible for trophies.

Home Contact

Each Patrol is required to have a home contact (details to be entered on the entry form) who can act on behalf of the Troop and/or District regarding:

The home contact must not be part of the camp staff or related to any Patrol member (e.g. if the Scout Leader is a parent, they cannot be the home contact).
