Instructions for uploading content in Media Space
Media Space is the platform currently used by the University Archives to publish audiovisual material online.
To upload and save material to Media Space:
Log in with your Ned ID at the top right corner of Media Space’s main page.
After you login, you will see a the “Add new” button at the top right corner of the page, next to your NedID. Click on “Add new” and then select “Media Upload”
Fill out the media’s details with as much description as possible. Please follow this metadata convention for videos uploaded:
Title: Video recording’s title - Name of digital objects at Archon, Series xx/xx/xxx. Example: Rose Bowl Game, 1964 - Digital Surrogates from the Football Games Films and Videotapes, Series 28/3/15
At the field “Description”, always link the media back to the Digital Object in Archon using a hyperlink. Example: Audiovisual Digital Surrogate from the Volunteer Illini Program Interview Records, Series 41/73/35
At the field “Tags”, always include the tag “university archives”. Try to find the tags that best describe your material. If needed, create new tags.
At the field “Credits”, you may use: “Digitized and published by the University of Illinois Library - University Archives”. However, check with your supervisor if this statement is accurate for the video you are uploading.
After completing the video’s description, scroll to the end of the page, and click on “Save”. That will save the information privately.
To publish material
Click on the button “Publish”. The University Archives owns a “Channel” (University Archives Audiovisuals) and a “Category” (University of Illinois Archives) on Media Space. You will need to Publish your content in both locations, unless there are any copyright restrictions that prevent the video to be accessible for the general public. Make sure that you are provided access to publish content both at the Archives’ channel and category.
At the tab “Publish on Category”, find “University Archives” (you can find it by typing archives on the search box, which would highlight your results). Click on save.
Then go to the tab “Publish in Channel”, and find “University Archives Audiovisuals”. Click on save.
Your video will be published when you see “ Published in:

1 Channels: University Archives Audiovisuals
Make sure that you add Bethany Anderson and Chris Prom as co-editor and co-publisher of your media. To do this, click on “Go to Media”. Then, click the button “Actions” located under the published video, and click on “Edit”
Click on “Collaboration”, which is the third tab under the video. In the section “Media Co-Editors and Co-Publishers”, click on “Add collaborator” and add Bethany's and Chris’ NedID. Make sure you check on both boxes, Co-editor and Co-Publisher.
To create playlists grouping the audiovisual contents in Record Series
The University Archives creates playlists within the channel “University Archives Audiovisuals” to arrange audiovisual contents under Record Series. To create a new playlist. First, be sure to be included as “manager” in the channel. Then:
Navigate to the channel “University Archives Audiovisuals”, by using the search box at the page “Channels”, found at the top horizontal menu bar of Media Space. You can also find it by under “my channels” (which can be accessed by clicking on your user name at the top of the page), or by clicking on the label “University Archives Audiovisuals” that should show in your video once it is published on the channel.
Click on the button “Actions” and then “Edit”, located at the top right of the channel’s main page.
Go to the page “Playlists”, at the top menu below “Edit University Archives Audiovisuals”. Click in on the button “Create new” and then on “Manual playlist”at the top right side of the page.
At the section “1) Set details”, enter the playlist title, following the title of the Digital Object and Series to which your videos belong. For example: Audiovisual Digital Surrogates from the Joseph T. Tykociner Papers, Series 11/6/20.
Click on the section “2) Add Media”. You should find all videos uploaded to the channel “University Archives Audiovisuals” at column to the left of the page. Click “Add” on the videos you want to add to the playlist.
Another way to add media to an existing playlist, is: go to the channel’s main page. Click on “Media” located next to “Playlists” at the top left corner, underneath the channel’s description. This displays all contents uploaded to the University Archives Audiovisuals’ channel. Each media’s box has a small sign “+” underneath the video’s preview. Click on the “+” sign of the video you want to add to a playlist. Then click on “Add to playlist” and finally click on the playlist you want the media to be linked to.
