1. Once materials have been processed and the DO record has been created, the files are ready to be staged for ingest into the Library’s digital preservation repository (Medusa).
2. Make sure the records are arranged according to the AIP Structure.
3. Move the processed materials (your working copy) to the MedusaStaging folder on the storage server, keeping the seven-digit (numeric) collection identifier from Archon (e.g. 1519030 for 15/19/30).
4. Update New Accessions/Accruals Tracking spreadsheet to make a note of actions taken during processing and that materials are staged for ingest.
5. Add the record series to the queue on the Medusa Workflow Tracking spreadsheet and mark the Approved for Ingest field “Yes”.
6. If you have not been trained to perform the initial steps of the Medusa Ingest process by someone in Digital Preservation, follow the Teams Medusa Ingest instructions for logging a Teams ticket to request the Digital Preservation Graduate Assistant set up the ingest.
DO NOT attempt to complete the ingest process unless you have been trained on the process. To request training, contact Tracy Popp.
If you have been trained, use the Medusa Collection Registry Training for reference on setting up ingests.
7. After materials have been ingested, move the entry for that collection to the “Completed” tab on the tracking spreadsheet and record the date the materials have been ingested.
8. The Medusa record will contain a UUID number in the Administrative metadata tab on the main collection page (e.g. 11913760-a08f-0131-4a3f-0050569601ca-a). After the entry has been created, add the UUID number to the Identifier field in the Archon DO and the collection URL to the scope note.
Accruals are unprocessed material that is an addition to an existing record series for which some other digital content has already been processed, described in Archon and made accessible, and ingested into Medusa. Material should be appraised, arranged, and described like new accessions.
1. Follow steps 1-7 above.
2. Update the Archon and Medusa records to reflect the accrual of materials (e.g., size of files, description of new materials, etc.)
