One of the primary missions of the COO is to be an agency leader and help everyone develop world class service strategies. This role is one of the faces of the agency in the community as well as agency prospects.
Work to improve personal lines retention with a goal of 93%, and continue to keep commercial lines retention strong.
Work to design and execute a defined Customer Experience
Create Strategies for the team to follow up with monoline business
Account round all new business
Work with the team on key account renewals
Follow up with new business 30 days after the point of sale and at renewal
Ask for referrals
Work to support marketing and branding in the following ways:
Provide business cards to be entered into marketing campaigns
Suggest blog, email and social media topics to the marketing department
Share agency social media posts on personal social networks
Participate in pictures and agency branding opportunities when invited
Handle social media for the agency, Facebook, Twitter, Pinterest and Linkedin
Participate in agency management activities including developing and managing producers:
Provide feedback and input on agency operations, structure, processes, and decisions
Conduct final onsite interviews with potential hires
Participate in generating new marketing ideas and content
Teach, mentor and coach new team members
Possess a positive attitude and support your team members
Coordinate carrier marketing representative meetings
Create workflows
Be involved in managing company metrics
Handle team vacation time
Set agency and department goals
Meet with marketing reps from carriers
Handle all team member 90 day reviews
Create monthly incentive programs
Provide discipline and coaching to team members
Learn and manage the agency management system
Manage employee payroll, benefits and HR related issues
Ensure the agency has proper security protocols in place
Manage the license for the agency and compliance
Accounting
Classify, record, and summarize numerical and financial data to compile and keep financial records using appropriate accounting software and/or spreadsheets.
Establish and maintain relationships with company and vendor payables departments.
Prepare and analyze accounting records, financial statements, and/or other financial reports to assess accuracy, completeness, and conformance to reporting, procedural and regulatory standards.
Prepare producer production/compensation reports.
Administers and conducts month-end and year-end close and generates reports.
Reconciles all cash receipts, bank statements, etc.
