AGENDA
1. Welcome – The Chairman, Pete Coote, welcome everybody and opened the meeting at 19:30.

3. Minutes of Last Annual General Meeting 2020
The Minutes of the Annual General Meeting 2020 were approved. This was held on Zoom.
4. Matters Arising - There were no matters arising
5. The Chairman’s annual report:
What a year... no Christmas gigs, no donations or fees collected until the UK opened up in August. Zoom calls kept us going during lockdown, many pluckers offered to lead songs on the calls which helped the organisers immensely. I'd like to thank Graham and Liz for all their work throughout the year keeping things going week after week. I'm sure it helped peoples' mental health to see others and interact with them. Later, with 6 people per session, we tentatively moved back to the OH@H, (we're now open to all from 7pm). As the Auckland pub was now unavailable on Mondays, the Phoenix became our new Monday venue. Things are gradually getting back to a form of normal, some pluckers may still be a little Covid-reluctant to join in these large groups. Requests for gigs are increasing, so we'll need as many gigging pluckers to perform as we can get.
After many years as chair, I have decided to step down; I've enjoyed it and have had many great times at gigs, practices and festivals, seeing people have fun, enjoying themselves. This is what I think it's all about and long may it be so. A new chair will be decided by the new c ommittee at the first committee meeting after the AGM
6. Financial Matters presentation adoption of accounts
The treasurer circulated several copies of the Profit and Loss and the Balance Sheet for year ending 30 September 2021. Not unexpectedly they showed a much reduced activity. We had an income of £574.55 and nil expenditure on running costs. We did make grants to our charities of £500 each and the committee agreed to give them a further £250 from funds held. This was actioned and cheques were given, without ceremony, last month.
There is roughly £500 in the bank. The insurance has been paid and also the website.
7. Choosing a local charity to support. ACTION COMPLETE –
Due to Covid-19 the committee decided to extend our three year support to four years for our chosen charities. To date we have given them £12,000, that's £4,000 each to Age UK Portsmouth, MAKE and PARCS. Your committee proposes sending them another £250 each for the end of our financial year for this year 30 Sep 2021. See item 6.
8. Changes to the group’s constitution:
The Committee proposes the following change to our constitution:
Proposal: A member of the Committee shall be asked to stand down if he or she does not regularly attend meetings and fails to respond in good time to committee correspondence. Meetings are normally held outside practice nights and aim to be a maximum of 6 per year.
9. Election of the committee - The committee have agreed to stand again with the exception of Simon Green and Chris Collier. Mick Whelan would like to join and was seconded by Elaine Halsey.
Pete Coote has decided to stand down as chairman after many years faithful service but has agreed to remain on the committee. The new chairman will be elected at the next committee meeting.
10. Any Other Business. There was no other business and the meeting closed at 2020.
11. Date of next Annual General Meeting. The date of the next AGM is 3rd November 2022
