Hello neighbors!
First, we wanted to thank everyone who attended the annual meeting on Sunday, September 14. There was an excellent turnout, and it was so great to be able to reconnect with neighbors we have known for years as well as meet new ones. We especially want to thank everyone who expressed interest in volunteering for the subcommittees we spoke about. If none of those opportunities appealed to you but you still want to get involved, send us an email. We are always on the lookout for interested people, and you will be the first we reach out to when a new need arises.
Next, we wanted to congratulate the two newly elected members of the EWPA Board of Directors, Shannon VanCleve and Sarah Yoder. Both are elected to serve a three year term, with Shannon continuing her previous two years of service as an at-large director and then as Vice President. Thank you both for joining!
Finally, we have an announcement regarding the vote to increase the maximum annual assessment. As discussed during the meeting, in order to change the maximum annual assessment, EWPA rules requires that a quorum of 60% of the total membership cast votes in order for the decision to be accepted. We did not meet that quorum at the meeting, but fortunately our rules allow us to continue voting with successively lower quorum requirements until a final decision is reached.
So, this message is a notice that on Sunday, September 28, from 3-5 pm in the driveway of 4190 Brae Burn Drive, there will be a followup meeting to again vote on raising the maximum annual assessment. Truthfully, the "meeting" will be at least two board officers sitting there with a ballot box, but please stop by, say hi, and cast your votes. We can answer any questions you may have, but there are no events or presentations planned.
Q. If I voted on Sunday, do I need to vote again?
A. Yes, unless you signed the proxy sheet that was available after the meeting or have otherwise assigned a proxy (see the following questions). Your votes on Sunday elected our new board members, but because the quorum was not reached, it is as if all the votes on increasing the maximum assessment never happened.
Q. If I couldn't attend / didn't vote on Sunday, can I vote this time?
A. Absolutely! This is a brand new meeting, so please vote.
Q. Can I just email you my vote?
A. Sort of. Our organizational rules require all votes be cast "in person or by proxy", with a proxy defined as an individual you name to then come cast your vote in person. You are free to arrange any proxy you want -- you need only email us to name the person, or send them to vote with a paper you signed naming them. However, if you don't mind one of our board members knowing how you voted, you are welcome to email edgewoodwestparkassociation@gmail.com, name one of us as proxy, and instruct us how you wish to vote. Therese Bauer (President) and Adam Jordan (Treasurer) are the two officers who monitor this email account, and are the only people who would ever know your specific vote. If you choose to follow this route, feel free to use the following message:
I name (your choice of person, Therese or Adam is easiest) to serve as my proxy to vote (YES or NO) on the proposal to raise EWPA's maximum annual assessment. This proxy will last until quorum is reached and a decision is finalized.
The second sentence is entirely optional, but means you will not have to name a proxy again in case we do not achieve quorum at this meeting either.
Q. I already named one of you as proxy for the first vote. Is that still active?
A. A number of members named Therese or Adam as proxy for the original meeting. They will send you a quick email asking if you wish to extend the proxy. It won't require anything more than responding yes or no.
Q. I signed the proxy sheet at the annual meeting. Do I need to do anything else?
A. No. Those who signed the sheet available at the meeting have already assigned a proxy until quorum is reached and the proposal either passes or fails.
