Notification of Special General Meeting to vote on a proposal to amend the constitution

Dear All,

A Special General Meeting will be held to coincide with the next scheduled monthly talk on 8 April at 7.30pm at the Mason's Hall in order to hold a vote by members on a proposal which was raised at the recent AGM.

Part of the remit of Abernethy Horticultural Society is to support practical gardening projects in the village, for example, Nurse Peattie's Garden and the Abernethy Fruit Trail. The newly established Abernethy In Bloom group will be able to provide a significant boost of both additional funding sources and extra volunteers to help these existing projects, and any new projects undertaken, flourish. This will undoubtedly work best if both groups can co-ordinate efforts and resources together towards this common purpose. In order to facilitate good relations and communications between the Horticultural Society and Abernethy In Bloom a proposal has been made to amend the constitution under the following terms:

8. AHS Committee Members: The affairs of the club shall be administered by an elected Committee comprising the following:- Chairperson, Secretary, Treasurer, and up to 5 supporting committee members.

Elected Committee members shall serve for two years. Half the members will be elected in even years, the other half in odd years. They will stand down from the Committee at the AGM but shall be eligible for re-election.

Notice of the Annual General Meeting shall be accompanied by an invitation to all members of AHS to nominate themselves or other AHS members for committee positions.

The Committee may co-opt additional members for special purposes and for their particular expertise

In addition the Committee shall invite the Abernethy In Bloom Committee to supply a committee member to join the AHS Committee as an ex officio member.

A vote on this proposal will be taken following the conclusion of the talk by the guest speaker. The voting options will be:

"Yes": change the constitution as indicated

or

"No": keep the constitution as it is

or

Abstain.

Under the terms of the constitution it may be amended by a resolution approved by at least three-quarters of those present and voting. In accordance with these terms votes will only be taken from those members present at the vote.
