Application Procedures for Extension of  Period of Stay as a Student

■Procedures of the Application for Extension of Status of Residence

1. Application Procedure for Students

①You will receive a notice from IRIS to ask you to confirm and update your individual information registered to IRIS on the first day of the month two months before the expiration date of your status of residence. 

②If you received the said notice, you need to confirm and update (if necessary) the information listed in 1 to 10 of "Applicant Data" on IRIS by the end of the month.

③Click on "Edit" in "Document" and upload the following documents.

 【For Everyone】  *Upload to the "Document" section of IRIS

 ・Image file of your passport

 ・Image file of your ID picture  (4cm×3cm size, photographed within past 3 months)

 ・Image file of your academic transcript at Rikkyo

  ※If you are not enrolled in Rikkyo University for more than 2 semesters,  you need to upload an image file of your academic transcript and certificate of graduation of your previous school in Japan such as Japanese language school, college or university. 

 ・Image file of your certificate of enrollment in Rikkyo

  ※A certificate of enrollment or academic transcripts are available at the Academic Affairs Office (Each costs 300 yen for issuance).

 ・Image file of financial documents proving ability to pay expanses in Japan

        You may be asked by the Immigration Bureau to submit financial documents to prove that you can pay for the expenses of your stay in Japan. Please make sure to upload at least one of the following examples that can prove your ability to cover expanses. If the amount is insufficient, you need to upload  several types of documents.

         Applicants must be able to pay for the expanses by remittance (including cash withdrawals from an overseas account with a cash card), scholarship, or the applicant's own deposits.


         【Example of financial documents】

         ◇Applicant's bank account balance (showing most recent balance)

         ◇If living expenses are withdrawn from the financial institution account of the person paying the expenses outside Japan: credit card/cash card image (showing the name of the account holder), and payment slip showing the withdrawal of the deposit.

         ◇Certificate showing the balance of the sponsor's bank account in the home country (a copy of the most recent bank passbook or a certificate of balance issued by a financial institution, etc.)

         ◇Certificate of receipt of scholarship (If living expenses are to be covered solely by the scholarship, please obtain a certificate of receipt)

 【For Students Who Exceed the Standard Period of Study Due to Repeat of Year or Leave of Absence】

 ・Statement of reason

  ※Write the background and reasons for exceeding the standard academic term and plans for future at the length of 1page in A4 size sheet.  Referring to "Statement of Reason (Sample)," describe in detail. 

④After finishing uploading, click on "Registration Completion" at the bottom. 

⑤Click on "Edit" in "11_1 Unqualified activities."

 ・Enter information on your part time work, then click on "Registration Completion" at the bottom.

⑥Click on "Edit" in "11_2 Status of residence."

 ・Enter information on your status of residence, then click on "Registration Completion" at the bottom.

Click on "Edit" in "11_3 Reason for extension."

 ・For "Desired length of extension," enter the years and months until graduation. 

 ・For "Reason for extension," enter "For continuing study at Rikkyo University."

 ・After entering the required fields as above, click on "Registration Completion" at the bottom.

⑧ Check off the box at the bottom of "Applicant Data" page, then click on "Registration Completion" at the bottom.

2.Actions by International Office

① The International Office confirms the applicant information you entered and may contact you if clarification or correction is necessary.

②If the applicant information is complete, the International Office sends you the application documents for extension of your status of residence (in PDF) to your SPIRIT Gmail address by Email.

3.Application to the Immigration Bureau (by Student)

・Certificate of enrollment

・Academic transcript

【Bring and Present】

・Passport

・Residence card

・Student ID card

【Handling Fee】

   4,000 yen (Buy a revenue stamp at the Immigration Bureau.) 

  ※You may be individually required to submit additional documents other than these in the process of screening your documents. In that case, please promptly follow the instructions given by the Immigration Bureau. 

Once You Obtain a New Residence Card;

You  have to submit a copy(image) of your new residence card to the International Office as soon as you obtain it. Please upload the file to the following link.

■Important Notes

e.g.

if the expiration date of your stay is April 8, you may apply for an extension of your stay between January 9 and April 8


※Students enrolled in Niiza Campus and living in Tokyo area are required to apply for an extension of stay at the Tokyo Regional Immigration Bureau in Shinagawa.



※If you have not received a notice from the Immigration Bureau after one month of the expiration date of your stay, please contact the International Office. If you stay longer than two months, your stay will be considered an overstay.


If you are already working part time (or intend to start working part time), you are required to apply for permission to engage in activity other than that permitted under the status of residence previously granted (i.e. part time work permit) along with the application for extension of period of stay . The current part time work permit is only valid until the expiration date of your stay. Therefore, please keep in mind that the existing permit becomes void after you have extended your period of stay.


A notice from the Immigration Bureau will be sent to you by mail after your application screening has been completed and the extension is approved . Please be sure to visit the Immigration Bureau where you applied within two weeks after you receive this notice in order to receive the permission . If you fail to do so within two weeks , your application may become void. After you receive a renewed residence card, please submit a picture file of your renewed residence card (both sides) to the International Office from here


For those who have applied for an extension of period of stay, you may continue staying in Japan holding your current status of residence up to a period of two months if your application result has not been completed after the expiration date of your stay. You may also depart or re enter Japan under the special re entry permit system even during your application process.
