CCSD Property Loss

Damage to Building or Contents

  1. Follow guidelines and protocols in the administrator guide for Damage to CCSD Property.

  2. If there is damage to contents of the building, the site will be responsible for contacting the Property Claims office (702-799-0048) and coordinating documentation of those items using the Site Loss Reimbursement guidance.

Please remember the following facts:

  • Replacement amounts are based on replacement with like kind and quality. If equipment is upgraded, then the site will be responsible for paying the difference.

  • If equipment is beyond its useful life and the site cannot prove that it was still being used regularly, then the site will be reimbursed for that item. They can work with Purchasing or Technology to see if items are available at no cost.

  • If you have any questions regarding the coverage of your loss contact the Property Claims office at 702-799-0048.

Theft or Vandalism Claim Process

  1. Notify School Police immediately of a burglary or vandalism. If the theft occurred off school district property but involved property owned by CCSD, contact the proper police jurisdiction and report the theft.

  2. Notify the Property Claims office (702-799-0048) of the loss or damage so a claim can be set-up for the loss. Provide the police report number and a copy of the property loss report which includes all serial numbers and values.

  3. Follow guidelines and protocols in the administrator guide for Damage to CCSD Property.

  4. If there is damage to contents of the building, the site will be responsible for contacting the Property Claims office (702-799-0048) and coordinating documentation of those items using the Site Loss Reimbursement guidance.

  5. A $1,000 deductible will apply to all losses due to burglary or vandalism. This amount will be subtracted from the amount to be reimbursed to your site by the Property Claims office.

  6. The site will have 30 days from the date of reimbursement to submit any supplemental costs for consideration due to an increase in replacement costs. Be prepared to provide documentation for review.

  7. If suspects are identified and charged with the vandalism or theft then the Property Claims office will follow the Restitution for Damage to CCSD Property guidelines and protocols and will request additional documentation from the site to supply to the courts.



Employee Property Loss

Pursuant to the negotiated contracts with both CCEA and ESEA:

Employees are discouraged from bringing or retaining personal property on School District premises. The School District’s obligation to indemnify an employee’s loss is limited to perils (fire, lightning, explosion, windstorm, hail, smoke, vandalism, theft, and water damage) covered under the district’s excess insurance policies, subject to the conditions set forth therein, site aggregated, applicable personal property insurance, and the following:

Personal property for which a loss is claimed must be used for essential tasks to support the employee’s direct scope of work and must be listed on the CCF-122 Declaration Form. The personal property (personal effects) of an employee necessarily worn or carried (e.g., eyeglasses, hearing aids, jewelry, dentures, clothing) onto School District premises is to be exclusively covered by the employee’s personal insurance as a non-business item, and should not be included on the declaration.

An employee must receive supervisor authorization and maintain a declaration form itemizing personal items and corresponding business use in order to activate indemnification up to $1,000 (replacement cost) per employee occurrence.

Employees must provide personal property declarations to their supervisors at least semi-annually; or more frequently if so stipulated by site administrators.

Non-declared items of personal property will be considered as non-business in their use and the School District’s loss indemnification will be limited to the employee’s personal insurance deductible up to $250.00.

For any occasioned loss, employees must submit a sworn statement to the School District within sixty (60) calendar days of the loss date in order to receive indemnification. Claim procedures are outlined on the CCF-122 Declaration Form.

The maximum School District indemnification amount, whether the claim is for a declared or non-declared item of personal property, for any one employee occurrence will be $1,250.00, including both the $1,000 limitation and $250 limitation listed above.

Losses attributed to wear and tear, gradual deterioration, latent defect, misuse, mishandling, abuse, or mysterious/unexplained disappearance will not be considered, regardless of personal insurance applicability.

For purposes of the articles, personal automobiles will not be considered as personal property.

CLAIM PROCEDURES IN THE EVENT OF A LOSS

If there is a loss of personal property, the following must be done:

  1. Notify Site Administrator and Police. Preserve damaged property as evidence and try to obtain photographs of item(s) location.

  2. Give Risk Management Department immediate notice of the loss or damage. Include a description of the property involved by completing a Property Loss Report with CCSD Police.

  3. Risk Management will open a claim and send out claim form, sworn statement, and property itemization list to be completed. The sworn statement of the loss must be completed and returned to Risk Management within sixty (60) calendar days from the date of loss.

  4. CCSD is a secondary coverage after any personal insurance coverage the employee may have. Once the claim is complete with the other insurance carrier, send a written description of the facts of loss. Include a copy of the declaration form, settlement explanation from your carrier and any CCSD loss reports, police reports, or witness statements.

Claims are subject to review by the Clark County School District, its excess insurance carrier, and their respective legal counsels.


Student/Visitor Property Loss

Report of Student/Visitor Property Damage/Loss

  1. CCSD Site will complete the Notice of Accident, Personal Injury/Property Damage form. Advise the victim to contact school police to complete a CCSD Police Report.

  2. The Notice of Accident, Personal Injury/Property Damage form should be forwarded to Risk Management for review along with the CCSD Police Report event number.

  3. The site administrator will assist Risk Management in conducting an investigation into the circumstances causing the loss or damage. This would include written statements from anyone who witnessed the incident or has knowledge of what happened.

  4. Once the investigation is complete all documentation should be forwarded to Risk Management.

  5. Upon request of the victim, Risk Management will send out a claim form to be completed.

  6. Risk Management will issue a determination of coverage and advise the victim of that determination.

  7. The Site Administrator should review procedures which apply to the loss and determine if there is a need for revision, correction, or clarification.
