All textbook and curriculum materials purchased by HSD will be delivered to the Resource Warehouse, where they will be cataloged and processed into Destiny, and transferred to campuses as needed. These materials will be available to transfer to other campuses as needs arise.
Textbooks and curriculum materials purchased by campuses may be processed and cataloged into Destiny and made available for transfer if needed by other campuses. The choice of whether to catalog campus-purchased materials will be made by the principal.
All textbooks and curriculum materials in the Destiny system will be circulated through the system each year and inventoried. It is the LMA's responsibility to ensure these items are secure, and that campus users understand these items must be checked in and out.
Class sets, novel sets, and lit sets intended for classroom use will be cataloged in the resource side of the Destiny system. These items are not part of the campus media center, and should not appear on the library side of Destiny. Contact District library staff for assistance in transferring these items to the resource side of Destiny.

Resources that are barcoded and entered into the Resource side of Destiny are available for sharing across the district. Library Media Assistants utilize the ILL feature in Destiny to request and receive items.

Notes About Novel Sets
The LMA and LA department coordinator should create a novel set calendar at the beginning of the school year in order to plan for the year. The calendar will help with coordination when schools share novel sets across the district.
The owning school site has priority use of the novel sets; for example if Liberty is using their set Of Mice and Men in October and Century requests it, then Liberty will not lend the copies until their unit is over.
The borrowing site is responsible for replacing any lost or damaged copies to the lending site.
Non-Sharable Items
Sometimes departments will purchase items with money that the principal specifically earmarked for their particular needs. In this case, the department may never ask for the materials to be processed and entered into Destiny because the department is tracking it on their own. In this case, sharing is not required.
Grant-purchased items may work the same way. Grants are often used for specific teachers/teachers/schools. In this case, the grant recipient may decline to have the materials processed, and will not be required to share with other schools.
What is a novel set (also known as a lit set)? A novel set is 25-35 copies of the same title, which is used in the classroom by a teacher for teaching purposes.
Who pays for novel sets? A novel set is classified as curriculum, so it’s typically purchased with Language Arts department funds or by the principal using their school budget.
Where do the novel sets live? In Destiny, novel sets live on the Resource Side which makes for easy transfers. In the library, the novel sets are typically stored alongside textbooks.
How are novel sets processed? They are processed the same as a textbook using a Hillsboro School District barcode that starts with a 4, on the spine of the book (or front cover if the spine is too small).
My language arts teacher wants to buy a novel set. What should I do? Vanessa can obtain quotes from various vendors, and assist with placing the order. We do not recommend purchasing hardcover books from Amazon because then you will have to cover all the jackets in mylar. Amazon is not the best for bulk orders. Bound to Stay Bound or Follett Bound books are the best for novel sets as they will last the longest.
Can I request multiple ILLs from multiple schools to gather a novel set from the library side?
We are retiring the practice of ILLing individual copies of the same book from multiple schools to form a novel set for teachers to use for classroom instruction. This practice is time intensive and does not guarantee that the teacher will get all the copies they need. It also takes the library books out of library circulation, which is their intended purpose. If a teacher needs multiple copies or a class set of a specific book, first check the Resource Side to see if a set is available in the district. If no set exists, then the teacher needs to tell their administrator a set will have to be purchased.
