Withnin the Logistics section of the Charity Suite Web App, you have the ability to create, view, edit and delete;
deliveries to deliver purchased goods to customers,
collections to pick up donations from customers and
restrictions against vans.
The calendar view allows the selection of a specific van, showing the weeks view of the jobs allocated to that van and any restrictions which are in place.
On selecting Create--> Delivery or Collection, a form is presented into which the delivery or collection details are added. If the job is for a donor already in your system, the USE EXISTING DONOR button at the top right of the form is chosen and the donor searched for. On confirming the donor, these details are transferred into the form.
Otherwise with a new donor, their information is captured in the form.
There may be an occasion that the customer/donor would like the job to be delivered or collected from a different address from that which is held on record for them. If this is the case, then uncheck the box DELIVER TO THIS ADDRESS/COLLECT FROM THIS ADDRESS and use the Address Lookup field to search for the full postal address of the donor. The address can then be selected and populated into the form.
If the donor is interested in our gift aid scheme, then check the box INTERESTED IN GIFT AID and the delivery/collection person can capture the necessary details on job completion.
The items for the job are added and an estimate of the delivery/collection duration is selected from the drop down list box.
Finally, before the job can be saved, it must be assigned to a van. On pressing ASSIGN TO VAN button, you are directed to the calendar page showing the possible slots the job can be allocated to. Click on the appropriate slot to complete the van assignment.
If required for the delivery, delivery docket and driver notes can be added and the job can be saved.
Any of the logistics delivery or collection jobs can be moved, edited or cancelled by first selecting the job from the calendar and selecting the relevant icon above the job details for the desired action. To see all the details pertaining to the job, press the SEE JOB DETAILS button.
It may be necessary to restrict when jobs can be added to a van in the case of say, a van being unavailable due to a mechanical fault, repair work or it could be that certain vans cover specific areas.
Any restrictions created can be set up to cover certain time slots and if they are required to repeat every day/week/month, repeat on certain days with never ending dates, a specific end date or after a specified number of occurrences.
There is also the ability within restrictions, to configure postcode restrictions.
Outcodes (the section of a postcode before the space) and Incodes ( the section of a postcode after the space) can be selected by ticking the checkbox next to them and using the >, >>, <, << arrows above each section to exclude or include in the restriction being setup.
These postcode restrictions can also have properties relating to the availability/unavailability of vans using any postcode restrictions and if the restriction in place against the van can be overridden or not.
You may have a file of postcodes to use for a restriction, and these can be uploaded in CSV (comma separated file) format from the Configure Postcode Restriction popup by pressing the UPLOAD CONFIG FILE button and selecting the file.
