Allows the user to open the till float and close the till at the end of the trading day
Allows the user to open the till float and close the till at the end of the trading day
The user can record an opening float and close a shift or trading day by declaring the cash and other payments made during the trading period.
To access the Till Float option, the user ‘slides in’ from the left hand side of the tablet screen, and this will display a sub menu.
Open
To enter an opening float the user selects ‘Till Float’ and this will display a secondary screen on which the Opening Float figure is keyed.
The user ‘taps’ in the Cash field and this will display the numeric pad, on which the amount of float will be declared.
Once keyed, the user can return to the main Checkout screen by selecting the back arrow at the foot of the screen.
Close
The user has a number of options, declare the closing float, with the option to key the amounts by denomination, Deposit and Withdraw cash, Close Float by Deferral and open the cash drawer.
Access to these options is controlled by the user permissions.
The user has two options here, declare the closing float (CLOSE FLOAT) by keying the total of all the Cash in the cash drawer (including the starting float and any deposits during the trading period), Cards, Vouchers, Cheques, Credit Notes, Credit Account and Other payment types that have been accepted during the trading period as totals or keying in a breakdown of monies taken, including the float and deposits (CLOSE FLOAT BY DENOMINATION).
Closing Float by Denomination
The breakdown by denomination allows the user to declare each tender by unit quantity using + or - buttons. As each denomination is declared a running total is displayed in the Cash Takings field. Once the cash has been declared the user can key in Card Takings (where an integrated PED is in use these figures will be brought across automatically) and any vouchers, cheques and other payment methods received as payments, are declared.
On completion the user selects the CLOSE FLOAT button.
On completion of the closing float, the user is advised on any variances that have been calculated, and this is displayed with the option to SUBMIT AND CLOSE FLOAT or by tapping the screen away from the Closing Summary dialog, will allow the user to re-key the information.
On completion the user is returned to the Till Float menu screen, in readiness to declare the new float for the next trading period.
Should your Organisation require staff to complete a specific task on opening a till float, these results can be captured in a form. In this example, users must complete a Health and Safety Assessment before opening their till float.
Should the user press DISMISS, they are returned to the Open Float page.
They will only be able to open a till float on completing the Health and Safety form, as it is set to mandatory.
Closing Float tasks can be setup also. Please contact Charity Suite support should you wish to setup forms.
The details captured in the forms are shown on the Declarations page on the Charity Suite Portal.
Deposit Cash
Cash can be added to the till during trading by using the DEPOSIT CASH function. When selected the user declares the amount and this will open the cash drawer for the monies to be deposited.
Withdraw Cash
Cash can be withdrawn from the till during the trading day by using the WITHDRAW CASH function. When selected the user selects a reason for the withdrawal and declares the amount. This will open the cash drawer for the monies to be withdrawn.
Both Deposits and Withdrawals are recorded for audit purposes and any activities for the current trading day will be displayed on the Till Float screen.
Cash Lift
Cash can also be lifted from the cash drawer via an automatic prompt when the amount of cash in the drawer reaches a set amount, i.e. cash threshold. This set amount is managed via the Charity Suite Portal.
The user can decide to dismiss the automatic prompt, or withdraw cash to bring the drawer down below the organisation set limit.
When selecting to withdraw cash, the user must select the reason for opening the till from the list of withdrawal reasons in the list along with the amount of cash being withdrawn from the till.
This cash withdrawal is recorded in the till float activity.
