Allows driver(s) to pick up details of todays ‘Jobs’ on a mobile device
The drivers selects the ‘Van’ they are driving and this then refreshes the screen with a list of any jobs scheduled for this vehicle today.
Each job displayed is flagged as either a Collection, Delivery, the anticipated arrival time (morning or afternoon) and whether it is ‘Outstanding’ or ‘Completed’.
Job(s) can be re-ordered by selecting the 3 vertical dots in the top right corner and selecting ‘Reorder’. Holding your finger down on a single job (for a few seconds) will then allow you to move the job within the list.
Once all the changes have been made, the driver can select ‘APPLY CHANGES’ at the bottom of the screen, and the driver will be asked to confirm any changes.
Any changes will be applied to the ‘Weekly Planner’ screen, shared across the enterprise.
It is also from the 3 vertical dots in the top right hand corner where drivers can complete any van forms your organisation may have setup.
Forms and Declarations menu option will show either ‘No item to display’ if the form has yet to be completed, or the name of the form completed and the completion date for the van in question.
A history of completed van forms can be accessed via the 'Forms and Declarations' menu and a new form can be completed via the 'Capture New Declaration' menu.
Please contact Charity Suite support should you wish to setup forms.
The details captured in the forms are shown on the Declarations page on the Charity Suite Portal.
The Driver selects the next job and this displays a summary including the name, address and contact information should we need to contact the supporter on route, and any additional notes.
The Driver selects the ‘MAP’ button and this will display the drivers current location on a map using the booking address and routing to location.
Selecting START NAVIGATION’ will launch the ‘turn by turn’ navigation.
On arrival at the destination the driver moves back onto the selected job summary screen and selects ‘SELECT JOB’.
Where a Collection is being completed, the driver presses ‘SELECT JOB’ and a new screen displays a summary of the items being collected.
The driver selects ‘CAPTURE ITEMS’ and a further screen is displayed listing the item(s) arranged to be collected.
Or if there are issues with the job, the driver can select 'Failed To Complete' button before selecting a reason why the job failed, to be saved in the database.
Selecting the ‘CAPTURE ITEMS’ displays a new screen listing the item(s) arranged to be collected, with the option to add additional items, where they are offered.
The driver can record an image of the donation by selecting the ‘TAKE PICTURE’ button, and apply a QR code to the item followed by ‘CAPTURE BARCODE’.
The scanning (photographing) the QR code will link the item to the supporter, and where they have signed up for Gift Aid will generate additional income for the charity.
Where the supporter has some additional items they wish to donate, pressing the + button will allow additional items to be added to the schedule and taken off site.
Once all the items have been recorded, the Driver selects ‘SUBMIT’ and this will display a further summary screen of the items collected.
Where a Delivery is being completed, when the driver presses ‘SELECT JOB’ the new screen displays a summary of the items being delivered.
The driver selects either ‘Delivered’ or Not Delivered’ against each of the items, and once all the items have been processed the driver selects ‘MARK AS COMPLETED’ at the bottom of the screen to complete the job.
Where an item cannot be delivered the driver will need to declare a reason from a drop-down list, before proceeding.
Where there are issues with the delivery, the driver can select 'Failed To Complete' button before selecting a reason why the job failed, which are saved in the database.
Viewing future logistics jobs
When a driver is viewing a job list view for future dates, they are able to view the job details with items but will not be able to see the MAP or complete the job.
The only option is to ‘Return to Jobs List’.
Feature switch to add QR Code for all logistics collections.
Defaults to the current behaviour to not allow QR codes on non-gift aid eligible items.
Only gift aid eligible items, with the switch DISABLED, require a QR code. If the switch is ENABLED, then both non-gift aid eligible items and gift aid eligible items require a QR code.
In the driver's COLLECTION completion screen, allow QR code on all items (GA eligible and non eligible) based on the feature switch.
Feature Switch = DISABLED, therefore QR code is not mandatory just whether the item has been collected / not collected.
Feature Switch = ENABLED, therefore QR code is mandatory as well as if the item is collected / not collected.
