Occasional Educators

Getting Started in Virtual classrooms

Occasional teachers and DECEs have Enterprise accounts this year.

Check your account for the BREAKOUT room feature by clicking on the activities (3 shapes) icon.

Please review the Handbook for Occasional Educators of Virtual Education Students. It includes the best practice procedure for accepting a virtual job (linked above). The information in the Handbook applies to virtual classes or all classes during a period of school closure.

As a reminder "Quick access" must be turned off so that people have to "knock" to enter a Google Meet. You should not be accepting anyone outside of the HDSB into a Meet unless it is a pre-arranged guest speaker and clearly stated in the supply plans.

To turn quick access off, open the host controls in the Meet (use the shield or the 3 dots and Settings). You can also turn the chat on/off or change the ability for others in the Meet to share their screens from the host controls menu.

What's in your backpack?

Need some tips or to troubleshoot Google Meet and Classroom? Wondering what to do if you have time left over after everyone's finished the activity left by the teacher? Check it out!

Attendance

Attendance can be found on myhdsb.ca (log on to myHDSB.ca using your Halton email and password).

If the teacher didn't leave you the login information for the web attendance, let the office know!

How to Meet Without Breakout Rooms

Breakout rooms bothering you or not able to use Meet for them as an occasional educator? Kick it old school. Generate Meet links in your calendar and then copy the link to an image on a Slide. Check out these examples. This is a quick way of setting up groups that you want to keep the same for a day, a week or two or more!

Click here for some tips on how to use Google Meet.

Google Classroom

Start by typing in https://classroom.google.com/ into your web browser URL bar.

If the educator has sent you an invitation your will see a blue "Join" button on their Google Classroom.

Click it!

If you were sent a "class code" instead, press the + button in the upper right hand corner and select join.

You will be given a box in which to enter it - and then you have to press the blue "Join" button in the upper right hand corner.

You always enter Classroom on the "Stream" tab but most of the action will take place on the "Classwork" tab.

If you do not see your Meet link(s) posted in Classwork, email the school admin to provide them with your Meet link(s) and request that they post them.

* Please do not use the teacher's existing Meet Codes, as you will not have access to host controls.

NEED TO TURN OFF NOTIFICATIONS?

Go to your Classroom dashboard - select the 3 lines in the upper left corner and scroll down to Settings.

It is recommended that you keep the invitations to teach or to be added as a student ON. The other notifications can be turned off if you'd like.

You can also modify specific Classrooms - by adjusting the notifications for those at the bottom of the Settings window that pops out.

Make sure you remove yourself from the Classroom! Don't "archive" it because that will archive the Classroom for all teachers and students! To remove yourself as a teacher or a student open up the Google Classroom dashboard, click the 3 dots in the upper corner on the thumbnail image of the Classroom and select leave class (teacher) or select unenroll (student). You can also leave the class if you are a teacher by going to the People tab in Classroom and click the 3 dots to the right of your name and "leave class".
