Submittals (New)

The "Packaged Submittals" module is new to Kahua in 2020 and replaces the previous "Submittals" app. and is used to manage Submittal items throughout the review process. The new "Packaged Submittals" app manages both submittal items, submitted individually (as was done in the previous Submittals app) and now also allows users the option of bundling submittal items into a "Package" and submitting as a package/set.

A submittal item may include shop drawings, samples, operational manuals, warranties, etc.

The project specifications determine what is required for review and approval. Once a submittal is approved and distributed, it can be released for fabrication and shipment.

Submittals are controlled by workflow in Kahua and therefore Statuses and appropriate dates auto-fill as the Submittal moves through workflow. The auto-fill of dates and statuses ensures accuracy and saves data entry time. Most auto-filled values can be manually overwritten when necessary.

New Features:

• Multi-Edit function - Ability to change data within many submittals at one time such as changing the Submission Due from Vendor date, Submitting Vendor, Submittal Coordinator, Official Reviewer, or Type.

• Enhanced Filtering - Ability to Filter by Grouping - Useful to organize by Vendors or Submittal Coordinator, etc.

• Enhanced Searching - Search ALL or by Number, Revision, Subject, or Submittal Coordinator, etc.

• REVISE button - Copying an existing Submittal into a new one with all the existing data moving into the new revision. Previous Revision will be accessible within the current revision of the Submittal.

Submittal fields can be pre-populated with repeatable information, such as the Primary Reviewer, Secondary Reviewers, cc/Notification, Response Distribution, Internal Processing Duration and Review Period (Days) to ensure consistency and eliminate redundant data entry.

Tips:

• For projects required to use the Owner or Architect's system we have a suggested workaround procedures below. Please examine and discuss with the project team and the Kahua IT Team.

• The Submittal Number field can be set to pull the next whole number based off of the selected CSI Code. Once the CSI Code is entered the Number field will calculate the next whole number and enter it automatically.
