Each Deb must contribute:

Minimum Participation (to be presented at the Ball) $2,325
Minimum Amount needed to receive a Book Award $2,825
Ads Sales $800 (counts towards minimums)

Ads Submission Deadline is

Wednesday, October 1, 2025 - Midnight

The competition ends on Sunday, October 26, 2025.

Souvenir Journal Format

The digital E-Souvenir Journal will be published the day of the event through the AFEE website and social media platforms.

Printed copies of the Souvenir Journal will be distributed to the Debutantes after the event.

Ad Sales

Please refer to the following guidelines as you solicit contributions and advertisements.

● Ads must be submitted in an electronic format for the best print quality. Please submit full color, camera-ready artwork only. Business cards or paper ads should be scanned and submitted online. See below:

Ad Format

● Ads may be created programs such as Word, Publisher, PowerPoint, Canva.com, Pixelied.com or Crello.com.

Full Color
300 dpi (high resolution)
Save all final artwork as a jpg, gif, tiff or pdf format.
Save files as the submitter's first and last name and ad size. If there is more than one ad being uploaded include a numerical value to differentiate between the ads. See examples:

SPONSORSHIPS

Debutante Sponsorships (Ads) are for individuals or businesses who want to be a sponsor for a specific Debutante. Debutante advertisements will appear in the Souvenir Journal in the selected Debutante's section.
Corporate Sponsorships (Ads) are for businesses or individuals who want to be a sponsor for the Winter Emerald & Gold Debutante Ball. Corporate ads will appear in the Souvenir Journal (not a specific Debutante's section) and will also receive special recognition at the ball, on the website and social media. Debutantes who secure corporate sponsorship will receive points.
Patron sponsorships are for individuals or businesses who want to make a monetary donation for a specific Debutante. Patron names will appear in the Souvenir Journal in the selected Debutante's section.

Ad Rates

Online submissions will be made available via Jotform and Pay Pal. A PayPal processing fee will be applied as noted.

There is only one of each premium ad position available. Premium ad positions back cover, inside front cover, inside back cover, facing inside front cover and facing inside back cover are sold on a first-come, first-served basis.

Debutante Ad Submission Deadlines

The final ad reporting deadline is Wednesday, October 1, 2025

✔ All advertisements must be received by midnight Wednesday, October 1, 2025, to count towards the scholarship awards and to be included in the production.

✔ Money will not be accepted without online ad forms.

DO’S AND DON’TS OF SOLICITING ADVERTISEMENT

PLEASE REMEMBER…

DON’T:

● Procrastinate! Start asking for sponsorships as soon as the competition begins.

● Hold on to ads and payments. Upload all ads and submit payments as soon as possible.

DO:

● Create a prospect list of 50 potential sponsors or more. Ask parents, family members, friends, organizations, teachers, community leaders, church members, classmates and businesses that you patronize to support your scholarship efforts.

● Follow up at least 3 times to secure the sponsorship. Create a spreadsheet to document and keep track of whom you have asked and who has committed.

● Request a report of your online ads and payments to monitor your submissions. Allow 24-48 hours for the report to be supplied.

● All Ads are to be submitted electronically. (See calendar of due dates.)

● Submit payments with the ad form and online upload documentation.

● Remember that the final deadline to turn in ads is on Wednesday, October 1, 2025
