Record Fetch: How to Use It
In this document, you will find two important procedures
Finding and Adding an Item record to your catalog
How to add Additional/Remove Libraries to your "Record Fetch" sites
Adding an Item record to your catalog
IMPORTANT: "Record Fetch" is Searching other library catalogs. Some libraries provide that service for others as a courtesy but they can stop services as well anytime, Mandarin does not have control over that. It is just a feature in Mandarin that allows simultaneous searches and the ability to download the record (Those libraries might have the record or not).
Login to M5, Click on the "record fetch" button.
Enter the item you wish to search by entering ISBN, if no records are found, search again but this time by the main TITLE, sometimes books are recorded with a different ISBN so it is a good practice as well to search by the main title
Once the title desired is found, click on "Choose Database", select your library database, and click "Add Record to". Records can be added right from the result page without adding them to "my list".
You will get a dialog confirming the record was added. Either the record shows on display automatically or "click" on the search to have the record on display result for the title just added in your catalog.
NOTE: You have downloaded and created a "bibliographic" record in your catalog. Now, we need to focus on creating or modifying the copy or holding record.
If you see that the record displays "0 of 0 available", then click on "edit" and scroll down to the 852 field which is the holding (copy) information. The most important fields are:
852#h - This is the area or shelf collection where you are planning to place the item (Ex: 500.23 or FIC or BIO).
852#i - Usually the first 3 letters of the author or title name (cutter), it help to organize the items on the shelf in alphabetical order.
852#p - Barcode library will be assigned to the item (at the librarian's discretion).
Once you click on "SAVE" it will update automatically your bibliographic record and it will create your first holding (copy).
*NOTE: If you have more copies of the same book and you need to add another holding (copy) to your catalog, click on the title (red fonts). On the title details screen, click on "Add Holding" and enter the call number information along with the barcode you wish to assign to the copy. Finally, click save.
You might want to proceed to print a barcode and spine label for that book
