PICTURES: How to attach or import pictures to patrons or items

To attach a picture to a record:

Search to get either the patron or item record, for example, If you are adding an image to an item search the catalog for that item then click on "attach picture". Another way is from circulation, select "status" from the menu, pull up the patron or item you want to add the picture to, in "select action" click the down arrow, then click on "attach/modify picture".

"Picture Manager" window will open, and there is an option provided by "open library" to get the book image, click on "Get cover" and Mandarin will try to retrieve the book image using the ISBN of the item, if not available then

Click the blue folder, navigate to where the picture is on your computer, select it, then click "upload". Finally, click "save". The picture will now be attached to that patron or item.

***Mandarin resizes the images to 150px wide in the catalog and 80px wide in circulation. What we usually like to stress when uploading pictures is to keep the file size small. We suggest a maximum file size of 100KB.

To Import pictures for patrons or students only (not items):

NOTE: If you don't feel confident doing this procedure, please contact Mandarin technical services for guidance once you have all pictures in a computer folder.

The picture filename must be equal to the ID or barcode (852#p) of the student to get an appropriate match.

    1. In the “catalog” button, click on the drop-down and select “cataloging tools”

    2. From the right menu, select “pictures upload”

    3. Browse to the directory with the pictures on your local computer and “select all” images.

    4. Finally "upload". (you will only see the first filename in the upload box)

Common Question from customers:

We recently updated all of the photos for our students in RenWeb or FACTS, but they haven't been updated in the library student database as of yet. Is there something I need to do to get that updated?

    • Renweb uploads student information nightly, but they don't upload the student pictures. Usually, this is done once a year and that process has to be done manually.

    • The person in charge of updating the student pictures in RenWeb should have access to a directory or folder where all student pictures are stored. You can also contact RenWeb and they will give you instructions on how to get them. Once you have these, we can help you upload them to Mandarin.

    • Note: the file name for the picture has to be the student ID so the system can correctly identify the record.
