How to Use the Group Assignment Rule

The group assignment rule is an optional feature you can use during the import process to assign a patron or item to a group based on information in a specific field. To use this:

    • In the last step of the import process, you will see the "group assignment rule" section. Click on the down arrow to expand it.

    • Once expanded, click on the first check box, then click on the double right arrows. After clicking on the double arrows, a windows will pop up. The "condition" dropdown provides two options, "equals" and "contains".

    • Let's say we're importing patron records and the 852z field has a note telling us which patrons are students and which are librarians. We want students to specifically be placed in the "patrons" group. We'd write in the "field" column 852#z, the condition would be set to "equals", and in the "text" section we'll type the word students. Once that's typed in, click "add" and the condition will be shown below. Finally, click close.

    • With the assignment condition displayed under the group assignment rule, we will select in the dropdown next to the rule the group those patrons will be assigned to. In this case we'll select "patrons".

PLEASE NOTE: If using the "contains" condition, make sure to use all capital letters for the text (ex. "students" would be "STUDENTS"). Otherwise, the assignment rule will not work as expected.
