Our proposed project delivery methodology is based on what we refer as the Arcanary project frame works. Which consist of the definition of Roles, Terms, Realms of work, Project Taxonomy
Lead - Consultant: The lead consultant is responsible for overseeing the project and coordinating the work of various consultants and stakeholders, defining the project scope, vision, and staging. They hire sub-consultants and ensure that the project is completed within the agreed-upon timeline and budget.
Sub-Consultants: Sub-consultants work under the lead consultant and provide expert opinion on specific areas of the project, such as engineering, environmental impact assessment, or project management.
Consultants: Consultants work directly with the principal and provide expert opinion on a specific area of the project, such as architecture, structural engineering, or mechanical engineering.
Contractors: Contractors are responsible for delivering site works and carrying out the construction work on a project. They work directly under the principal and are responsible for ensuring that the work is completed according to the project specifications and within the agreed-upon timeline and budget.
Main-Contractor: The main contractor is responsible for executing the work as per the design and hiring sub-contractors to carry out specific areas of the project, such as plumbing, electrical, or carpentry works.
Sub-Contractors: Sub-contractors work under the main contractor and deliver specific areas of the works, such as installing HVAC systems, laying pipes, or installing windows. They are responsible for ensuring that their work meets the project specifications and quality standards.
Authorities: provide approval and requirements for a proposed design. Engaged and paid by the principal but managed by the lead consultant

Project admin: management of the relation between the client or principal and the arcanary
Project Management: the management of timing and cost, including the consultancy cost from consultnats
Production:
Coordination: Include the management of compliance, requirements and inputs from sub-consultants, lead by the lead consultants, definistion of SOT (Source of truth), Clash detection
Design: Iterative process of refining the design, incorporating the information provided in the other realms.
Terms define the amount of information expected and the general objective of the phase.
A - ANALYSIS: The main objective of this phase is to gather information and conduct feasibility studies to help determine the viability of the project. This includes conducting surveys, investigating the site, and developing a client brief.
B - DESIGN: In this phase, the design team works closely with planning consultants and specialists to develop a design that meets the client's vision while also complying with planning regulations, construction codes, and the client's budget.
C - COORDINATION: The objective of this phase is to develop the project design in coordination with the input of consultants, so that the design can be accurately priced and constructed. This involves collaboration and communication between the design team, consultants, and contractors.
D - CONSTRUCTION: This phase focuses on the execution of the project, with the main contractor and sub-contractors responsible for carrying out the construction work according to the design and project specifications. The lead consultant works closely with the contractor to resolve any issues that arise on site.
E - USAGE: The final phase of the project focuses on the ongoing maintenance, improvements, and marketing of the completed project. This phase involves ensuring that the building or facility is operating as intended and making any necessary upgrades or changes to improve its functionality or appeal.

Our methodology for managing consultants is centered around three key principles: Clarity, Precedence, and Iterations.
Clarity is achieved through our project portal, which provides our clients with access to all project documentation, events, and milestones in real-time. By having a single source of truth, we minimize the risk of duplication, double handling, and mistakes. Our aim is to provide our clients with full control over their project while minimizing their workload.
Precedence is achieved by our 24/7 availability to clients, consultants, and trades. As we focus solely on drafting and modeling tasks in our production offices, we are able to stay on top of project progress and keep momentum happening. By removing ourselves from the Critical Path, we are able to keep our presence felt and ensure that the project stays on track.
Iterations are achieved through our artisan approach to projects. We treat each project as a unique, precious piece of craft that requires continuous improvement. We achieve this by establishing production offices in multiple locations, allowing us to access top-skilled architects and engineers. We also conduct in-house meetings on a weekly basis in our atelier on Bronte Rd. These meetings, combined with our real-time information management system, enable us to iterate on the project in real-time and make adjustments as necessary.
Overall, our consultant management methodology is designed to provide our clients with control, presence, and continuous improvement.
At our company, we believe that communication is key to the success of any project. That's why we hold weekly in-house meetings at our atelier located on Bronte Rd in Queens Park. These meetings allow our team members to discuss the progress of the project, address any issues or concerns, and make sure everyone is on the same page.
In addition to these meetings, we also utilize an Information Management System as our background support. This system is constantly updated in real-time to ensure that all stakeholders have access to the most up-to-date information on the project. This allows for seamless communication between team members, clients, and any other stakeholders involved in the project.
We believe that this combination of in-house meetings and our Information Management System provides a solid foundation for successful project management. It ensures that everyone is aware of the project's progress and any potential issues, which allows us to quickly address and resolve them. This ultimately leads to a more efficient and effective project management process, resulting in a successful project outcome.

Arcanary's Information Management System is designed to ensure quality control and maintain a single source of truth throughout the project. It consists of four different portals/tools that serve different purposes.
The Admin Portal is dedicated to the relationship with the principal or client, and includes all financial information such as quotes, invoices, and variations. It also displays their statuses and any comments.
The Production Portal is exclusively available to Arcanary members and contains information about all projects across the organization, including stakeholders, assets, and status tracking. It's used internally to track progress, register incoming assets and outgoing documentation, and report issues.
The General Project Portal is a generic portal for a specific project and includes valuable information to be shared with all stakeholders, such as contacts, assets, SOT documentation, public Gantt/calendar, issue tracker, project calendar, and a live 3D model. The project portal includes a list of missions with links to the Mission Portal.
The Mission Portal is a stakeholder portal that can be accessed only by invited consultants. It's used for project management and includes all information related to a specific package, including folder/subset items code, description, author, status, comments, and a direct link to the specific folder.
Finally, the Arcanary Academy is a knowledge base portal that serves as a repository of SOPs, best practices, samples, and production assets such as templates. It's accessible to all members of Arcanary and covers all realms, including admin, management, coordination, and design.
