BUSINESS NAME FORMAT WITH TRADENAME
BUSINESS NAME FORMAT WITH TRADENAME
Policy for Standardized Business Name Formatting and Trade Name Validation in the BPLS Database for Multi-Branch and Complex Corporate Accounts
RATIONALE & OBJECTIVE
Our Business Permits and Licensing System (BPLS) is fully equipped with separate fields for Legal/Corporate Name and Trade Name. However, historical data entry contains long, unparsed corporate strings that include outside provincial branches.
This policy establishes operational guidelines to:
Properly utilize the separate database fields without disrupting the fast-paced renewal environment.
Implement a client-friendly approach that encourages, rather than forces, corporate data correction.
Align our database format with standard national business registry layouts.
PRE-ENCODING VALIDATION PROTOCOL
Before any complex or corporate business name is encoded into the BPLS database, frontline staff must perform mandatory primary verification to confirm the legal existence of the parent name and its specific trade names:
For Sole Proprietorships (DTI): Verify exact spelling via the DTI Business Name Registration System (BNRS) Portal.
For Corporations/Partnerships (SEC): Verify the primary entity using the SEC Express System Search Portal. Staff must inspect Article I of the submitted SEC Articles of Incorporation to locate the explicit "doing business under the name and style of..." text.
For Cooperatives (CDA): Cross-check directly with the physical CDA Certificate of Registration (No online portal verification available).
STANDARDIZED BPLS FORMATTING RULES
When a single corporate registration contains multiple branches or independent trade name concepts, encoders are strictly prohibited from copying the entire multi-branch string into the system. Encoders must extract only the trade names physically operating within our local geographic jurisdiction, using the parenthetical format rules below:
Format Rule 1: The Corporate Default (Standard Rule)
By default, the system entry must reflect only the official corporate name exactly as stated in the SEC registration. This is mandatory for corporate head offices, non-retail warehouses, or instances where no consumer-facing trade name is declared by the applicant.
System Input: ABC CORPORATION
Format Rule 2: The Parenthetical Exceptions (Conditional Rules)
The addition of parentheses containing trade names shall only be permitted if the establishment is a public-facing retail storefront (e.g., a mall, supermarket, or department store) and the trade name is explicitly verified under Article I of their SEC registration.
Format Rule A: Unified Establishment (Consolidated Permit)
If multiple registered trade names or consumer brands operate under one roof, use single-point cash registers, and request a single consolidated permit, merge the specific authorized trade names using an ampersand (&).
System Input: ABC CORPORATION (ABC GRAND CASUNTINGAN & ABC GRAND KIDS PLANET)
Why this works: It isolates only the specific trade names authorized by the SEC that physically exist at the local address, completely scrubbing out unrelated provincial branches from our local database lines.
Format Rule B: If they operate as completely separate business units
If the separate brand concepts inside the same building (e.g., Kids Planet) maintain independent cash registers, separate accounting books, and file distinct gross sales declarations, frontline staff must require the client to secure two separate permits under the same parent corporate identity to protect local tax classification lines.
Permit 1 (Supermarket line): ABC CORPORATION (ABC GRAND CASUNTINGAN)
Permit 2 (Toy/Specialty line): ABC CORPORATION (ABC GRAND KIDS PLANET)
DIRECTIVE AND ACTION PLAN FOR BPLS ENCODERS
For New Applications and Long-Dormant Renewals (Mandatory Execution):
Effective immediately upon approval, all data entry clerks shall strictly implement this universal database entry rule for all new business applications and all renewal applications that are filing a renewal this year for the first time since 2020 or prior years:
"When a corporate client has a long list of trade names under a single SEC registration, isolate only the specific name(s) tied to your local city branch address. Place them in parentheses after the main corporate name, separated by an ampersand (&) if there are multiple brands at that specific location. Strip out all other branches, cities, and punctuation."
For Active, Consistent Annual Renewals (Voluntary Transition)
To maintain rapid processing speeds and prevent bottlenecks during the peak renewal season, this rule will not be forced upon active accounts that renew consistently every year. Encoders will process these regular renewals using their historical data as-is, while gently offering the client the option to voluntarily update or file an amendment for correction
