First Steps for New Department Coordinators
Welcome! We are so glad you have joined us as a new department coordinator.
All new department coordinators are invited to set up a time to meet with the Clinical Education Manager (Janell Lopez, lope0165@umn.edu).
The purpose of this meeting is to act as an introduction to the people and systems you will interact with in Undergraduate Medical Education on the Medical School Administration side.

Following this meeting, you will be set up with any needed access to systems like Clinician Nexus, MEdIS, MedHub, Canvas, and PeopleSoft.

Coordinator Mentor Program
New department coordinators are invited to express interest in being paired with a mentor. Please complete this short form if you would like to be paired with a mentor coordinator.
Mentor coordinators:
meet monthly with their mentee to have a conversation about what they are working on at that point in the year, how they do it, and to answer questions
serve as their mentee's go-to person for questions about how we do things or who to contact for help
We ask that mentor coordinators commit to mentoring their assigned mentee for at least six months, although if it is preferred, this can be extended.

The new coordinator mentor program is a great way to meet others in a role similar to yours. The mentor program is an amazing opportunity for learning and networking in a very supportive 1:1 setting.

Having someone I know I can ask any question small or big to work through navigating my new position has been an awesome resource. In those first weeks learning can be overwhelming and to have a sounding board to work through thoughts or ask guidance but not being a part of my department made it a more relaxed environment.

It is incredibly valuable to have a resource to reach out to outside of the UME office (although they are of course wonderful and very helpful as well!) when you need help completing a task, finding a resource, etc.

Advice for New Coordinators
Make "How-To" documents for yourself! There are many tasks that you don't complete on a regular basis, so it is very helpful to have a resource written in your own words to refer back to with step by step instructions. I use mine frequently! I also created Google Calendar recurring events on my own calendar for things that only happen occasionally throughout the year. The "Department Coordinators" calendar is great for this as well, but I like to add in notes for myself to jog my memory.
