All leave requests are due 30 days prior to the start of a block OR by the due date specified by the rotation.
Email the program coordinator for the rotation.
Once approved via email by the rotation coordinator, forward the approval email to leavecim@ualberta.ca if the rotation has not already cc'd them.
Your leave request will be reviewed by the CIM Program. Your leave is not approved until you receive an email from the CIM Program via the leavecim@ualberta.ca on behalf of Jennifer Staniland.
**If your leave is for more than 5 days (longer-term medical leave, compassionate leave, etc) you must submit a PGME Leave Of Absence (LOA) Form and follow the instructions. Ensure the Program Director and Jennifer Staniland are aware of your plans with a copy to leavecim@ualberta.ca.
Unapproved Leave: if leave is taken without approval, this will be recorded on the resident's file as an "unexplained absence" and will result in the resident having to make up missed time as well as professionalism concerns.
If you are sick and cannot attend your duties for the day, you must:
Inform your preceptor
Inform the rotation Program Administrator and site PTP (if on CTU)
Inform leavecim@ualberta.ca
If you are sick and cannot attend your call shift, you must:
Contact the other residents on the rotation and attempt to re-arrange the call schedule to obtain coverage for your call shift
Inform the preceptor and Program Administrator of your absence and of the call schedule change
If you are too unwell to attempt to obtain call coverage for your shift, you must inform the preceptor, program administrator and site PTP (if on CTU) and the CIM Program Director that you are too unwell to attempt to rearrange your call schedule.
The maximum number of working days that can be missed on a 2-week rotation is 3 days, on a 4-week rotation is 5 days.
A sick note will be requested if the illness absence is longer than 2 weeks (ie 10 working days). Residents may be required to provide a medical note stating that they are cleared to return to work for any sick leaves longer than 2 weeks.
Flex Days: If multiple flex days are requested consecutively, your request may be declined. No aditional flex or vacation days are allowed in Block 07. For Block 13, priority will be given to R3 residents who have matched outside the U of A.
Stat Day-in-Lieu: These days must be used in the same rotation as the stat day you worked. As per the PARA contract, residents are entitled to a lieu day when they have worked a stat holiday and also a vacation day in lieu if vacation falls when there is a stat holiday. Please note that stat days, vacation days, and personal days DO NOT carry over from year to year.
Night Pool and Night Float Recovery: For the Internal Medicine night pool and senior medicine night float rotations, it is very challenging and often not possible
for residents to recover these stat lieu days during the NP and NF rotations.
Night Float: the program encourage residents to recover NF stat days on their next senior medicine rotation and/or ambulatory clinic rotation.
Night Pool: When there are 5 or 6 residents on NP, the stat can be recovered during the NP rotation-residents can take the Sunday or the Thursday in lieu - these arrangements must be made with your colleagues and in advance of the block starting.
When there 4 residents on NP, the options are:
Preferred: when NP is paired with Ambulatory clinics, stat days can be recovered on Ambulatory.
For R2s that have ELECT2 periods, stat lieu days can be recovered from this rotation.
Stat lieu days can be recovered on the next mediciine subpseicalty block (ideally within 3 blocks of the stat).
Vacation Day In Lieu: For a vacation day that you are applying for, please make every effort to ensure this vacation day is recovered within 3 blocks of the stat day and (if possible) on non-senior medicine rotations like CanMEDS, ambulatory, etc.
Conference Days: Documentation of conference registration must be provided. There is a maximum of 5 conference days allowed.
CaRMS MSM Interviews: There is a maximum of 5 working days for CaRMS MSM Interviews.
Study/Exam Leave: five (5) days of study leave are allowed for each portion of a Royal College exam. Exam leave is as follows:
***TRAVEL REQUIRED - 1 day prior to outbound travel, 1 day of outbound travel, 1 or 2 days as required to attend the actual examination, and 1 day for return travel.
NO TRAVEL REQUIRED - 1 day prior to the examination, 1 or 2 days as required to attend the actual examination.
