Boarding Student Off-Campus Pass Requests
Before leaving campus, students (or parents on their behalf) must create a pass on ORAH. Passes must be approved by parents and houseparents before the student can leave campus.
Off-campus pass protocols (excluding school-organised trips):
Request: Student or parent submits a pass request via ORAH. The pass must include all relevant information, such as mode of travel, location being visited, who you will go with, estimated return time, and host details (if visiting a host).
Staff Checks and Approval: House Parents will look over the pass and approve it if there are no issues, such as no parental endorsement, insufficient information, or an inappropriate request, e.g., returning beyond normal curfews.
Signing Out: When students are ready to leave, they must check with the duty staff, who will activate the pass. It is not acceptable to depart campus without speaking to a member of staff first.
Cellphone: Students must demonstrate that they have a cellphone that both receives incoming calls and can make outgoing calls in the UK before being granted a pass.
Communication: Any deviation from plans must be reported to the duty staff at the first possible opportunity.
Signing In: Upon returning to campus, students must sign back in with the duty staff so they are aware of their location at all times.
Parental Permission: Students may not travel to local towns or to London without either an endorsement from a parent for each pass request or permission from parents on file. For example, a parent might prefer to defer their endorsement to the discretion of House Parents passing to local towns like Windsor or to London due to time differences, making quick endorsements difficult. This is at the discretion of each parent, and the Director of Boarding will explain this further prior to the start of the term.
House Parent Permission: Ultimately, House Parents have the overriding say on whether a pass request is approved. If, for any reason, House Parents deny the pass (e.g., concerns over safety), this decision is non-negotiable.
Lone Passes: The context of any pass requests whereby a student would be going off-campus alone would need to be discussed prior to a decision being made by the Director of Boarding.
Overnight: Requests to stay overnight with parents or Guardians must be submitted via ORAH at least three days prior to the intended pass, because houseparents are required to perform diligent checks, including phone calls to intended hosts.
Planned Absences From School
If for any reason a student intends to depart campus during school hours, parents must complete a request via the new attendance system on the LMS Parent portal. To use the system, log in to the LMS Parent portal and click on the “Student Absence Request” button to the left of your household information.
Then, select your child’s name and the date of the absence you wish to request, and select the reason for the absence from the drop-down menu. There is also a comment box for any additional information.
Once you have entered your request, simply submit using the blue button and await approval.
