When sending esignature to another party make sure the name is the same of who is going to sign it. For example, if you are sending an application to a husband to sign for a wife if the husband enters his name it will not work, so it must match the same person.
Memo and Mail- Certified Letter
You cannot mail out Forms without downloading them and uploading them
Forms like Cancellations/Applications/Statement of No Loss and Agency Forms
Use StreetSmart Memo and give client explanation of what is needed and to send back to us
Do not send out in color or Certified unless you ask the Agent or it is mentioned to do so.
Pro Tip 💪🏼 You cannot send out mail to other addresses, just the insured's mailing address. If needed to send to another address, give the task to Jimmy.
Sharing Documents and Handling Cancellations
What do we share and why? 🤔
We will share any customer facing documents like additional information, cancellations, etc learn more in the Mail/ Hello/Document Retrieval process
Manual policies we will share the policy, declarations pages etc as we are receiving them to share with the client.
Download policies do normally not share this as we do not receive it from the carrier. This would create extra work for us, some carriers participate in eDocs and we have automation turned on to automatically share it to the client.

Enable Gmail For Ezlynx Organizational Level (admin login for Google workspace neede)
Ezlynx has released a Gmail plug-in so you can save your emails directly from Gmail. This includes sent and received emails. This plug-in is already turned on for everyone. How to use it! 💡
We can also add the Labels to the emails that we are saving using the EZLynx Gmail plugin and the automation should fire off.⚙️
Do not work from your email save them to Ezlynx!🙅♀️

Pro Tip 💪🏻 Make sure to attach all the attachments in the email if applicable. In case the file is too large and exceeds the 2 MB limit, you may download the attachment and manually upload them in EZLynx.
Pro Tip 💪🏻 When setting up the task, please be sure to double-check the date and time. The default is the next day, 11AM. Make sure to change it according to the urgency of the task or the current date. Here's a video for this tip! Change Task Date when Plugging in to EZ from your Emails
At the moment you cannot assign a task to a department, so department leads will need to tell us who the point person is to assign tasks to and each department.
Going forward do not email or CC the Hello inbox rather save the emails and assign a task to the appropriate person in Ezlynx.📥
If you reply to an email save it from the sent email because it saves the whole thread and adds your notes.
Make sure we are adding to applicable discussion titles such as Customer Inquiries, Cancellation, Renewal, New Opportunities, or Claims. Do not make new discussion titles. 📌
Do you not email or forward emails to the certificates inbox. ❌ Please assign a task from EzLynx to Ysobel Gabrielle. Do not forward to accounting either
Please bulk archive your old emails and move to Archive. Also, please archive your emails that you can take care of or move to EZLynx.
