Hall Hire
Estate residents can apply to book the community hall for a private event as per Estate Rule 10. Communication via email is preferred but a printed hire form needs to used and handed to the volunteer owner handling the hall hire process.
A booking is confirmed after a resident has filled out the hard copy hall hire form and paid the fee.
The Process.
You should check the current hall bookings, i.e. availability HERE.
Click this LINK to generate an email to let the hall hire person know which day you want and which house you are from. Contact a committee member directly if you don't have email, see the list on the hall door facing the tennis court.
Fill out and sign the double sided hall hire form and also note the conditions of hire on the form. Check inside the hall near the noticeboard for printed copies of the double sided form or print the form from the PDF below or ask a committee member to assist.
A meeting occurs. The volunteer handling the hall hire needs to collect the money and counter sign the completed form. This usually occurs as a physical in-person meeting. You keep the counter signed form which becomes your receipt and handy conditions of hire reference document.
The volunteer handling the hall hire puts a note on the three main hall doors a few days prior to the hire day to warn other residents of the upcoming private hire.
You use the hall on the hire day.
The volunteer handling the hall hire checks the hall is ok on the day after the hire.
Notes:
Hall bookings are handled by an onsite volunteer committee member. The OC's Manager has no involvement in the hall bookings so do not contact the OC Manager.
The hall hire conditions (read form) changed in March 2024 to reduce the workload on the volunteer who happens to be handling the hall booking. Some notable changes are:
The hirer needs to bring things they need but are not in the hall on the day of the event, e.g. tea towels, paper towels, toilet paper, etc.
There is no bond, instead the hirer needs to arrange for any repairs such as accidently broken windows. Also contact a committee member if there is something significant goes wrong.
The hirer needs to take home and dispose of all the rubbish from the hall hire event.
