Purchases under $250, bids are not required. We will only need a quote for the items you are looking to purchase in order to process a purchase order.
In order to purchase goods from a non-contracted vendor, bids are required for purchases made between $250.01-$4,999. You may use the Telephone Bid Summary Form to obtain bids from vendors, or collect quotes.
For items costing $5000-$14,999, you will need 3 written quotes from separate vendors. The lowest bidder should get the business unless there is a compelling reason an exception must be made.
Just be sure that a vendor is on our system before obtaining a quote! You can reach out to someone on our team, or request access to FAMIS to check if vendors are in the DOE system. A purchase order is not possible with anyone who is not a DOE vendor.
When submitting quotes, be sure to submit the funding codes with your request so that we can process the purchase order.
In some cases, there may be a vendor that is contracted for items, but non-contractual purchase orders may be required to get items not on contract. In this case, bids must be obtained for similar items from at least 2 other vendors.
EXAMPLE: STAPLES is contracted for certain ShopDOE items, but anything not listed on the site will require a bid/quote from the vendor, and 2 other vendors if over $250.
