El Camino Fundamental High School
PTSA General Meeting 7:00 p.m.
1. Welcome and Opening Remarks
- Meeting called to order at 7:02 p.m by Tracie Hewitt. People in attendance: Christy, Barbara, Julie, Carly V., Rob K., Tracie, Becka, Shannon
2. Approval of Previous Meeting Minutes: Shannon Fox, Secretary
- Shannon Fox motioned to approve, Becka Stephensen seconded.
3. Admin Report: VP Rob Kerr
After a major storm this weekend, we made it back to school today and got the power up and working at 8:05 a.m. Missing a lot of students (due to the storm).
Lucas Wadell (11th grade class president) borrowed the PTSA coffee maker. Carly Van Alfen will send him a note to track it down.
(Update…. The coffee maker was returned to the PTSA)
Colors Dance (March 8th)- This is in place of the mardi gras dance. It is full of games and food for the kids. Each day of the week they will be spotlighting a club during lunch. Students get to decorate the halls.
4. President's Report: Tracie Hewitt
- Our PTSA QR code is not working. She has a voicemail in to the account rep.
- (Update…. we have a new, working QR code!)
- Honor’s Senior breakfast is on May 23rd from 7:00-9:00 a.m. We need to require an RSVP from all students (even if they aren’t bringing anyone). In our food buying we need to account for teachers and school board members. (Last year we didn’t and stressed out about the excess people & food quantity).
- We need to have a table about grad night outside the door at the breakfast.
5. Vice President's Report: Jennifer Flohr (absent)
6. Treasurer's Report: Becka Stephensen
-Very little money has come in. We’ve only received a handful of senior grad night ticket purchases.

Scholarship Report: Barb Lezon-
There is a google form online for applications, but she will give Mr. Rafiq hard copies. They will make posters advertising the scholarships, put it on the school radio station, include it in the Eagle Eye, and post on social media.
-Applications are due April 5th.
All Night Graduation Report: Julie West
- Wants signed waivers from seniors.
- We have secured karaoke, a character artist, a hypnotist, a palm reader, cash cube,
and received donated Starbucks gift cards for raffle prizes.
- We need to sell 82 more tickets to break even. We have currently sold 23 tickets at $100
each, and 6 at $75 each (early bird sales).
10. Upcoming Action/Expenses - Carly VanAlfen (School Counselor)
Thank you to PTSA for sponsoring the exchange student for grad night.
Undergrad awards have been going on for 33 years, and historically the PTSA has been the sponsor of these.
There are two events to recognize students:
A lunch event based on a GPA of 3.5 and higher. PTSA provides a treat for them that they pick up at lunch on April 24th. PTSA needs to make about 400 goodie bags and help with set-up and distribution from 11:00-12:30 that day.
Evening event for department awards will be held on Wednesday, May 1 from 6:00-7:45 p.m. The Band will be playing at 5:30 p.m. PTSA will not set up desserts until 6:30 (once people are all inside the Performing Arts Center). PTSA will provide the refreshments.
11. Open Floor / Questions for Admin
-To do - Add a line on the 24/25 “Join PTSA” form that says “donate refreshments in Spring to awards ceremony”
