TUTORING NOTES
Tutors must accomplish the Tutor Feedback part of the Tutoring Notes page for the student’s and the next tutor’s reference. Tutors have forty-eight (48) hours to edit and complete the Tutoring Notes; however, tutors are encouraged to accomplish their notes immediately after each lesson.

Parts of the Tutoring Notes
Present is the default value of the student’s attendance in the Tutoring Notes. This is to document that the student attended the lesson.
Absent can only be chosen from the twenty-fifth (25th) minute of the lesson. Choose this to document that the student was unavailable throughout the reserved time.
Material Used
Tutors must accomplish this part of the Tutoring Notes immediately after the lesson to allow the student to accurately track their progress with the materials, especially if they are taking more than one (1) lesson per day. This part can be saved separately from the other parts of the Tutoring Notes, so make sure to finish at least this part within the five (5) minute period after the lesson.
Main Material
Choose the material that consumed the most of the lesson time from the drop-down box. Choose the specific level, chapter, and/or lesson from the next drop-down box, or input the details of the material used (e.g., topics, URL, etc.).
Progress Status
Mark each material as "Completed or In Progress" depending on whether you finished the material during the lesson. Free Conversation sessions are always marked as Completed.
If a material is marked as "In Progress", specific details about where the lesson ended should be indicated in the provided box (e.g., page, exercise, item, etc.).
If a tutor started with a material that was marked as "In Progress" in the previous tutor’s notes and was able to finish it during the lesson, the tutor must mark this material as "Completed."
Multiple Material Input
Tutors may add another two (2) materials in the Tutoring Notes if needed. Tutors may also remove the extra material(s) by clicking the Remove button. Make sure that all materials added are marked with the correct progress status.
This section can hold a minimum of one hundred fifty (150) and a maximum of one thousand (1,000) characters. Tutors must fill out this section before the day ends.
Follow these guidelines to ensure the quality of your notes:
a. Limit the details of the Tutoring Notes to lessons. Refer to the Guidelines in Handling Personal Information.
b. Use English and be mindful of your spelling and grammar.
c. Express your feedback in the second person, as if you’re still speaking to your student.
d. Avoid the use of negative words such as expletives and profanities.
e. Avoid words that elicit negative feelings, such as “rude,” “uncooperative,” etc.
f. Reflect the student’s progress and points for improvement in your feedback.

The definitions of Personal Information, Privileged Information and Sensitive Personal Information are based on the Data Privacy Act of 2012.
The following contents are optional and cannot be seen by the student. These sections of the Tutoring Notes are more for the use of the next tutors to help them prepare for their lessons.
Assessment of Student’s English Level
Select the student’s appropriate skill level based on his/her performance in the lesson. The levels are based on CEFR-J (Common European Framework of Reference for Language adapted for the context of the Japanese ESL Industry).
Recommended Lesson or Activities
Tutors may include their material or activity suggestions based on the student’s performance or requests during the lesson to help the student improve their skills.
My Memo
Tutors can input the student's lesson preferences, additional requests, participation level, attitude, or any relevant information they think will help them in future lessons with the same student.
Only the author can see inputs to the My Memo section.
Tutoring Notes for Consecutive Lessons with the Same Student
If you encounter consecutive lessons with the same student (i.e., 50-minute, 75-minute, or 100-minute plans), you may choose to:
a. Fill out each Comment for Student section in the Tutoring Notes pages to be sure that your feedback is specific to each material for each time slot; or
b. Enter all the details in the last 25-minute lesson, and use the template below for the previous lesson(s) with the same student:
"Hello! Thank you for your time today. We had a 50-minute session. Please refer to my feedback in the next lesson's report. Keep up the good work! Thank you!"
