We use Asana for organizing, planning, and assigning tasks. In Asana, you are able to see what tasks have been assigned to you, when they are due, and what details/attachments go with the task. Within the specific task, you are able to ask questions, track progress, add collaborators, reassign to someone else, and mark complete.
As a team, we want all tasks to take place in Asana. Think of Asana as taking over email for all internal communications. If you need something from someone, assign it in Asana. The more we use Asana, the smoother and easier task organization and managements will be.
Emails are most often used for external communications but are still sometimes necessary for internal communications. If you email a co-worker with information about a task you would like them to complete, try to get in the habit of also adding the task to Asana.
We use Google Calendar for scheduling meetings and Google Hangs for hosting video calls. Keep your calendar updated with your availability so your team can see when you are and are not free.
To see a team member's calendar, search their name under "Meet with..." and select their name. Their calendar will appear to help you see their availability.
Loom is a screen recording / video platform that runs through Google Chrome. In Loom, you are able to record your screen and your voice to create tutorial videos. You then are able to trim or edit your video and provided with a link to share with your team. It is a free tool, and you can use your email to create an account.
Loom is a great tool for documenting processes and for communicating remotely.
Slack is our digitial workspace. While tasks and other assignments are communicated in Asana, everyday conversations, general communications, and updates all take place is Slack.
A few tips and suggestions for Slack Best Practices:
Post your status on Slack - Share when you’re in a meeting, at lunch, or away from your desk. If we all do this all the time, it will be an easy habit to remember whether or not you’re in the office.
Be online when you're online - Whenever you are working, have Slack open and be available to respond. Often Slack messages are used for quick requests or questions, so the timelier you are with your answer, the better.
Use Slack for phone and video calls - You are able to make calls and video calls directly in slack. This is a convienent way to verbally discuss things with co-workers. When you are on a call in Slack, a phone icon also appears by your name to let everyone else know you are on a call.
Connect your Google Calendar to Slack - when you connect your calendar to slack, it updates your status for you whenever you are scheduled for a meeting in Google Calendar. This allows your team to see when you are in a meeting or a scheduled event
